About the role
We are seeking an experienced Property Management Operations Manager to oversee the day-to-day operations of our residential properties in Petaling Jaya and Sri Petaling. As a full-time role, you will be responsible for ensuring the smooth running of our properties, optimising efficiencies and enhancing the overall experience for our residents and tenants. This is a strategic position that will play a vital role in supporting the continued growth and success of our real estate business.
What you'll be doing
- Responsible for day-to-day smooth operation of building management and maintenance, and M&E maintenance of the assigned development including Pinnacle Mall Management, Car Park Management, building security service and domestic cleaning – janitorial/general housekeeping.
- Manage a team of property management staff and oversee the coordination of all property-related services, including maintenance, repairs, resident and tenant relations and occupancy.
- Responsible to ensure scope of works are properly adhered to by service providers, contractors and suppliers.
- Develop and implement operational policies, procedures and processes to drive continuous improvements in service delivery and cost-effectiveness.
- Coordinate and resolve complaints raised by owners/occupants/retailers at all times.
- Liaise with landlords, tenants and contractors to address any issues or concerns in a timely and professional manner.
- Attend to all enquiries regarding leases, maintenance, etc.; Negotiation of rental, Issuance letter of offer.
- Handover of premises together with measurement of space and keys.
- Attend to all renewal and renegotiation of tenancy.
- Attend all meetings with landlords/tenants.
- Addresses for the financial operation of the completed properties, i.e., the collection of all relevant charges are up to date, to recover arrears, processing of all outgoing payments, preparation and control of budgets, procurement and maintenance of adequate insurance coverage.
- Monitor property performance metrics and recommend data-driven strategies to optimise occupancy rates and rental yields.
- Ensure full compliance with all relevant real estate regulations and internal policies.
- Support the broader leadership team with strategic initiatives to expand our residential property portfolio.
- Collaborates annual budget.
- Prepare checks on all services contracts and ensure that indemnity/termination clauses are as per policies.
- Attend to all defects, seeking solution and obtaining quotes for repairs etc.
- Responsible that the building is adequately covered by insurance for fire, incidental losses, public liability and theft.
- Obtain the necessary approvals from relevant authorities for alteration, registration of equipment etc.
- Obtain necessary approval from architects, M&E consultants and relevant authorities.
- Attend to tenants Fit-Out work requirements including approving, supervising and ensuring compliance.
- Effectively implement and enforce house rules and regulations to ensure a conducive and safe environment.
- Periodic checks and inspection are conducted on:
- Mechanical and Electrical apparatus including all lifts and escalators at all operational areas.
- Plumbing and Sanitary fittings.
- Monitor and ensure the renovation/servicing/rectification works by owner/occupants/retailers’ external contractors are in accordance with the policies, procedures and direction set by the Company.
- Preparation of standard fit-out manual for contractors.
- Vetting of floor plans, electrical and fittings so as to conform to building requirements.
- Liaise closely with Residents’ Committee and Local Authorities on issues affecting the local community.
- Inspecting and supervise Car Park Management and Pinnacle Mall Management.
- Conduct regular checks and ensure cleanliness at car park and all operational areas in Pinnacle Mall are maintained at all times and are adequately lighted at all times.
- Organise, coordinate and manage smooth operation at car park including valet parking.
- Conduct twice weekly inspection on condition of parking facilities and Pinnacle Mall facilities.
- Ensure that waste disposal is collected on time/cleanliness is maintained at refuse chamber.
- Liaise with appointed recycling contractors to facilitate timely collection of kitchen waste for composting.
- Carry out periodical checks and troubleshoot shortfalls within the Safety Aspect of the building.
- Ensure that adequate parking facilities available to cater for Events/functions.
- Prepare monthly management reports.
- Addresses to emergency maintenance and safety requirements.
- Ensure that agreements in pertinence to outsourced workers are in line with mandatory requirements.
- To undertake any other duties and responsibilities as instructed by the authorised personnel of the company from time to time.
What we're looking for
- At least 8 years' experience in residential property management, with a proven track record of delivering outstanding customer service.
- Strong operational and project management skills, with the ability to multitask and prioritise effectively.
- Excellent communication and interpersonal skills, with the confidence to liaise with a diverse range of stakeholders.
- Analytical mindset with experience using data to inform decision-making and drive process improvements.
- Tertiary qualification in property management, real estate or a related field preferred.
- Familiarity with relevant real estate regulations and compliance requirements.
- Possess a Certified Property Manager (CPM), Real Property Administrator (RPA) or Registered in Apartment Management (RAM) designation will be an added advantage.
- Customer service oriented with great interpersonal skills and are extremely organized.
- Proficient in major Microsoft Windows, Office and Property Management operating system and software.
- Proven ability to comply with operational policies and procedures, codes and regulations.
- Proficient in written and spoken English, Bahasa Malay and Mandarin to effectively communicate, especially with Mandarin-speaking stakeholders. Ability to communicate local dialects with all levels of stakeholders would be an added advantage.
- Exceptional organizational and problem-solving skills.
- Strong familiarity and working knowledge of affordable housing laws and anti-discrimination legislation.
