Procurement cum Admin Executive

Key Responsibilities

Procurement Responsibilities:

  1. Supplier Sourcing & Management:

    • Identify and evaluate potential suppliers for SISSB clients and potential prospects.

    • Request for Quotations (RFQs) and negotiate terms with suppliers to ensure cost-effectiveness and quality.

    • Maintain strong relationships with suppliers and vendors.

  2. Quotation Preparation:

    • Prepare detailed and accurate quotations based on client specifications and requirements.

    • Collaborate with the technical and sales teams to ensure quotations align with project needs.

  3. Procurement Process:

    • Manage the end-to-end procurement process, including purchase order issuance, order tracking, and delivery coordination.

    • Ensure timely delivery of goods and services to clients.

  4. Logistics Coordination:

    • Coordinate the logistics of trading goods, including shipping, customs clearance, and delivery to end users/clients.

    • Resolve any issues related to logistics or delivery delays.

  5. Documentation & Compliance:

    • Maintain accurate records of procurement activities, including contracts, purchase orders, and invoices.

    • Ensure compliance with company policies and industry regulations.

Administrative Responsibilities:

  1. Office Administration:

    • Assist with general office administrative tasks, including filing, documentation, and correspondence.

    • Manage office supplies and ensure the office is well-maintained.

  2. Client & Vendor Communication:

    • Serve as a point of contact for clients and vendors regarding procurement and administrative matters.

    • Provide timely updates to internal teams and external stakeholders.

  3. Reporting:

    • Prepare regular reports on procurement activities, supplier performance, and administrative tasks.

Qualifications & Requirements

  • Diploma or Bachelor’s degree in Engineering, Business Administration, Supply Chain Management, or a related field.

  • 1 to 3 years of experience in procurement, sourcing, or a similar role.

  • Familiarity with data center or server room equipment and solutions is a plus.

  • Strong attention to detail and ability to read and interpret technical specifications.

  • Proficiency in Microsoft Office (Excel, Word, PowerPoint) and procurement software.

  • Excellent communication and negotiation skills in English and Bahasa Malaysia.

  • Ability to multitask and work in a fast-paced environment.

  • Strong organizational and time management skills.
