The Position

Execute the day-to-day activities according to the highest standards of financial control, compliance and best practice. Ensure quality and accurate delivery of services within agreed key performance indicators (KPIs) and as defined in the Service Level Agreement (SLA) and SOPs of the respective business sub-process.

Follow the instructions of the Managers regarding the daily work coordination.

Develop knowledge and capability to raise competence to expected levels to meet current and future business needs.

Contribute process and technical expertise to process improvement initiatives.

Support on assigned projects or programs.

Key Accountabilities:

  1. Validate and process (fix & check) Purchase Requisitions to ensure completeness and in compliance with Procurement Policy
  2. Convert Purchase Requisitions/Shopping Carts to Purchase Orders
  3. Purchase Order amendment, close and cancellation
  4. Manage and resolve internal and external queries
  5. Participate in invoice reconciliation process. Work closely with Accounts Payable team to resolve any outstanding invoice reconciliation or mismatch
  6. Execute and produce accurate and timely reports
  7. Manage and execute the quote collections (RFP/RFQ) and multiple source biddings when applicable
  8. Manage Contract Repository - Ensure all contracts are filed and easily accessible for future use
  9. Review and update SOP, DTP & CCP timely
  10. Ensure adherence to the Procurement Policy, Directive, Guidelines and Local Procurement SOPs
  11. Actively participate in new project, such as ASPIRE/MyBuy and etc. Attend related meetings, trainings, knowledge transfer and etc

Who You Are

  1. Degree or Diploma in Business Studies, Finance & Accounting/Commerce, Supply Chain or Procurement equivalent
  2. Good communication skill and able to communicate effectively in English and Japanese (N5 level)
  3. 3-5 years’ experience in a centralized purchasing environment and Supply Chain with production planning background
  4. Experience of working in a shared service center across a global / large organization will be an added advantage
  5. Good negotiation and analytical skills, resourceful in identifying new sources of items requested and results oriented
