Job Purpose
The Personal Assistant (PA) to the Managing Director provides high-level administrative, operational, and analytical support to ensure the MD’s time and priorities are effectively managed. This role includes 80% executive support and 20% business analysis responsibilities, assisting in data-driven decision-making, business reporting, and strategic planning.
Key Responsibilities
A. Executive & Administrative Support (80%)
• Manage the MD’s schedule, appointments, and travel arrangements.
• Handle confidential correspondence, reports, and presentations.
• Coordinate and organize internal and external meetings, preparing agendas and follow-ups.
• Act as the primary liaison between the MD and internal/external stakeholders.
• Oversee office operations related to the MD’s office and ensure smooth workflow.
B. Business Analysis & Strategic Support (10%)
• Assist in analyzing business performance metrics and operational efficiency.
• Compile data and generate reports to support strategic decision-making.
• Conduct market research and competitor analysis to provide insights for business growth.
• Assist in financial reporting, budgeting, and forecasting related to MD’s projects.
• Support process improvements by identifying inefficiencies and recommending solutions.
C. Communication & Stakeholder Coordination (10%)
• Draft and proofread business reports, official communications, and presentations.
• Manage correspondence and communications on behalf of the MD.
• Coordinate with department heads, clients, and external partners.
Minimum Requirements
Minimum 5+ years as a PA, Executive Assistant, or Business Analyst in a corporate setting.
Bachelor’s degree in Business Administration, Management, Finance, or related field (preferred).
Proficiency in Mandarin or Cantonese and English to effectively communicate with Mandarin-speaking clients.

Reporting & Evaluation
• Reports directly to the Managing Director.
• Performance will be evaluated based on efficiency in executive support, accuracy in business analysis, and effectiveness in stakeholder coordination.
