Personal Assistant (Immediate - March 2025)

Location: Saudagaar Asia Sdn Bhd, Kota Damansara, Selangor
Reports to: Chief Executive Officer (CEO)
Job Type: Full-Time

Job Purpose:

The Personal Assistant (PA) to the CEO provides high-level administrative and operational support to the CEO. This role requires excellent organizational skills, discretion, and the ability to handle a fast-paced work environment while managing confidential matters.

Key Responsibilities:

Executive Support & Administration:

  1. Manage the CEO’s calendar, schedule meetings, and coordinate appointments.
  2. Organize and prepare documents, presentations, and reports for meetings.
  3. Handle travel arrangements, including flights, accommodations, and itineraries.
  4. Manage correspondence, emails, and calls, prioritizing urgent matters.
  5. Take minutes during meetings and ensure follow-ups on key action points.

Operational & Project Management:

  1. Assist in coordinating company-wide initiatives and projects on behalf of the CEO.
  2. Conduct research and provide insights on business strategies and industry trends.
  3. Act as a bridge between the CEO and internal teams, ensuring smooth communication.
  4. Support event planning, business functions, and external engagements.

Confidentiality & Discretion:

  1. Handle sensitive company and personal information with absolute confidentiality.
  2. Manage high-level communications and stakeholder interactions professionally.
  3. Communicate with clients, partners, and stakeholders on behalf of the CEO.
  4. Build and maintain positive relationships with internal and external contacts.

Required Qualifications & Skills:

  1. Education: Bachelor’s degree in Business Administration, Management, Communications, or a related field.
  2. Experience: Minimum 3-5 years of experience in an executive assistant or personal assistant role.
  3. Skills:
    1. Strong organizational and multitasking abilities.
    2. Excellent verbal and written communication skills.
    3. High level of professionalism, discretion, and problem-solving skills.
    4. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and scheduling tools.
    5. Ability to work independently and handle pressure in a fast-paced environment.

Preferred Qualifications:

  1. Experience in a corporate or high-level executive support role.
  2. Ability to manage multiple priorities and deadlines effectively.
  3. Familiarity with business operations, finance, or marketing functions.
