Position Title: Personal Assistant

Job Summary:
We are seeking a highly organized and proactive Personal Assistant to provide comprehensive administrative and personal support to senior management or executives. The Personal Assistant will handle a wide range of tasks to ensure smooth day-to-day operations, allowing the executive to focus on strategic priorities.
Key Responsibilities:
- Administrative Support:
- Manage and maintain the executive’s schedule, including appointments, meetings, and travel arrangements.
- Prepare and edit correspondence, reports, presentations, and other documents as needed.
- Handle incoming and outgoing communications on behalf of the executive.
- Maintain organized filing systems for documents and records. - Calendar and Meeting Management:
- Schedule and coordinate meetings, ensuring all necessary preparations are made (e.g., agendas, documents, and logistics).
- Take minutes during meetings and follow up on action items.
- Act as the first point of contact for meeting requests and prioritize based on urgency and importance. - Travel Arrangements:
- Plan and coordinate domestic and international travel itineraries, including booking flights, accommodations, and transportation.
- Prepare travel expense reports and ensure timely reimbursements. - Personal Assistance:
- Handle personal errands and tasks as required by the executive.
- Assist with organizing personal events, appointments, or activities. - Liaison Role:
- Act as a liaison between the executive and internal/external stakeholders.
- Maintain a professional and courteous demeanor in all interactions. - Event Planning and Coordination:
- Assist in planning and coordinating company events, workshops, or conferences.
- Ensure events run smoothly by managing logistics and resolving any issues promptly. - Confidentiality and Discretion:
- Handle sensitive information with the utmost confidentiality.
- Maintain discretion in all matters related to the executive’s personal and professional affairs.
Qualifications and Skills:
- Diploma/Degree in Business Administration, Management, or related field.
- Proven experience as a Personal Assistant or in a similar role.
- Exceptional organizational and time-management skills.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to multitask, prioritize, and meet deadlines in a fast-paced environment.
- High level of professionalism, discretion, and confidentiality.
- Flexibility to work beyond standard office hours if required.
