Job description

Job Responsibility

  • Responsible for managing the Top Management’s day-to-day administrative and operational matters.
  • Making interview appointments, coordinating business schedules, and taking minutes of meetings.
  • Develop and maintain a filing system.
  • Handling personal and private/confidential matters for the Top Management and/or immediate family members of the TMs as instructed.
  • Maintain the confidentiality of the company's information.
  • Willing to take on more job responsibilities when needed arises.
  • Organizing and managing business/meeting schedules, sending reminders, assessing priority of appointments, and relocation as necessary.
  • Answering phones politely and professionally, and routing calls to the correct person or taking messages.
  • Organizing travel itineraries, including visa (if required).
  • Taking notes and writing minutes during meetings.
  • Handling a wide range of confidential information or documents.
  • Excellent skills in writing clear, concise, and grammatically correct English and Mandarin copy.
  • Must be able to work independently with low supervision.
  • Ability to handle multiple tasks, meet deadlines, and work in a fast-paced environment.
  • Undertake ad-hoc assignments as and when required.

Job Requirements

  • Candidate must possess at least a Professional Certificate, Diploma, Advanced/Higher/Graduate Diploma, Bachelor's Degree, Post Graduate Diploma, Professional Degree in Finance/Accountancy/Banking, Business Studies/Administration/Management, Marketing, Secretarial, Commerce or equivalent.
  • Required skill(s): excellent supervisory skills, excellent organization skills, excellent written & interpersonal skills.
  • Required language(s): Bahasa Malaysia, Chinese, English.
  • At least 2 years of working experience in the related field is required for this position.
  • Preferably, Executives specializing in Secretarial/Executive & Personal Assistant or equivalent.
  • Full-time position(s) available.
  • Able to undertake pressure in meeting deadlines and deal with relevant authorities in a professional manner.
  • Able to multitask.
