Role: People Services Coordinator

Location: Cyberjaya, Malaysia

Salary: Competitive Base + Benefits

Job Type: 6 Months Fixed term Contract

Responsibilities:

We are looking for a People Services Coordinator to help ensure our people have a great experience every day. You will be obsessed with providing a friendly, professional, and consistent experience to all employees throughout their career with Nasstar. You’ll take part in making sure our processes run efficiently and fairly for all our people, whether in onboarding, personal development, or during times of change.

Documentation and Process

  1. Coordinate the completion of all people-related processes, proactively following up to complete key tasks. Escalate any issues to ensure processes are followed.
  2. Documentation includes but is not limited to starter and background checks, changes to roles, performance management, and training requests.
  3. Propose improvements to processes for a better employee experience and to reduce administrative efforts.
  4. Ensure people records and data are up to date and accurate.
  5. Support Talent Acquisition processes as required.

Help New People Settle In

  1. Ensure new starters are welcomed into the business and that we have prepared for their arrival. Drive other departments and managers to set up equipment, logins, etc.
  2. Participate in new starter induction training as necessary.
  3. Ensure managers set objectives for new starters so they are clear about what is expected of them and by when.
  4. Work with managers to plan induction training so new starters can be effective as quickly as possible.

Engagement and Experience

  1. Resolve employee questions and inquiries, or direct them to appropriate contacts.
  2. Support the implementation of policies and procedures, including representing the People Team in investigations or disciplinary/grievance meetings.
  3. Promote the wellbeing and fair treatment of all our people.

Reporting and Communication

  1. Prepare reports and analyze data as required, including after conducting new starter or engagement surveys and exit interviews.
  2. Respond promptly and professionally to employee inquiries, escalating when you have exhausted resources at your disposal to locate answers/resolutions.
  3. Coordinate regular communication from the People Team to managers and the wider business.
  4. Contribute content for newsletters, e-bulletins, and other updates.

What we are looking for:

  1. Bachelor’s degree or substantial additional working experience.
  2. Good experience of HR administration across the employee lifecycle.
  3. Good knowledge of requirements for legal compliance in terms of health and safety, employee screening, and ongoing checks. Actual experience of processing and reviewing documentation.
  4. Experience of providing advice to managers/employees and fielding their questions.
  5. Experience of preparing reports/spreadsheets, e.g., to analyze diversity or absence monitoring.
  6. Experience of using an HRIS.
  7. Knowledge of ACAS code of practice for disciplinary and grievances and experience of basic disciplinary investigations, meetings, and appeals.
