Job description

Responsibilities:

  1. Manage the on-board activities of the new hires and ensure all the information of the new hires are updated accurately in the Human Resource Management System (HRMS).
  2. Maintain and update employee personal data in the system on a regular basis.
  3. Assist and monitor the employees’ welfare benefits as per the Company’s requirements within stipulated timeframes.
  4. Assist and monitor the employees’ medical benefits on a regular basis.
  5. Plan, seek, and assist the rewards & compensation for the employees as per the Company’s requirements.
  6. Assist in document preparation for Immigration Malaysia for newcomers from the International Unit.
  7. Monitor and prepare the necessary documents for permit renewal.
  8. Assist and monitor the condition of all rented units with clear arrangements for local employees or expatriates.
  9. Assist and monitor the Tenancy Agreement renewal between Legal, Finance, and Owners.
  10. Plan, seek, and monitor the cost travel arrangements to support any activities as per the Company’s requirements.
  11. Plan, seek, and monitor the travel arrangements for Local Employees & Expatriates (Transportation, Hotel & Accommodation, Airport Transfer).
  12. Assist and verify the control expenses for the travel arrangement before payment release by Finance Department.
  13. Assist and monitor the attendance record for Headquarters & Distribution Center.
  14. Update, manage, and maintain the leave record for the Headquarters & Distribution Center.
  15. Update payroll records by reviewing changes in exemptions, insurance coverage, savings deductions, and job titles, and department/division transfers.
  16. Calculate employee salary including overtime work, unpaid leave, allowances, claims, taxes, and all statutory contributions and deductions (EPF, SOCSO, STD etc.) and remit the payment to the respective authorities within the predefined deadlines for Headquarters & Distribution Center.
  17. Maintain employee confidence and protect payroll operations by keeping information confidential.
  18. Plan, assist, and monitor the order items (stationery, forms, uniform, and others) with Non-Trade for Headquarters.
  19. Support other Human Resource Division activities/events such as Warehouse Sale, Anniversary, and others.
  20. Office and company asset management support (if required).
