Job description

Key Responsibilities

  1. Schedule Management: Arranging and managing the director's schedule, including meetings, appointments, and travel plans.
  2. Communication Coordination: Handling phone calls, emails, and other communications to ensure information is conveyed promptly.
  3. Document Management: Preparing and organizing reports, presentations, and other documents, ensuring accuracy and confidentiality.
  4. Meeting Coordination: Scheduling meetings, arranging locations, preparing meeting materials, and taking minutes.
  5. Travel Arrangements: Managing all aspects of travel, including flights, hotels, and transportation arrangements.
  6. Relationship Management: Maintaining good relationships with internal and external contacts, representing the director in communications.
  7. Project Follow-Up: Assisting the director in tracking the progress of important projects to ensure tasks are completed on time.
  8. Perform other duties that may be assigned.

What We're Looking For?

  1. Minimum 1 year experience as a PA or Secretary, preferably supporting a director or senior executive.
  2. Exceptional organizational and time-management skills.
  3. Strong written and verbal communication skills in both English and Mandarin.
  4. Pleasant personality and able to work in a dynamic team.
  5. Discretion and confidentiality when handling sensitive information.
