Operations Executive

Welcome to our Operations Team! The Operations Team is responsible for maintaining the seamless behind-the-scenes flow of our Wanderlust + Co world. Stocked internationally across 400+ retailers, primarily in the US and Australia, the Operations Team is the heartbeat of the brand. We’re a fast-growing, high-energy team with a passion for what we do.

As the Operations Executive for Wanderlust + Co, you will be responsible for managing orders and customer service, assisting with inventory control, and providing additional support to the operations team.

Candidate should be pro-active, reliable, and detail-oriented, with the willingness to be responsible for your own domain and work with the management team to drive growth and business improvements. Job Responsibilities (including but not limited to) –

40% - Planning

  1. Effectively manage and cultivate the Operations team, ensuring smooth operations in the department, and achieving key performance indicators (KPIs).
  2. Proactively identify operational risks and implement mitigation or contingency plans.
  3. Streamline operational processes and procedures to enhance scalability by managing retail/wholesale orders, PR deliveries, and re-deliveries, working with relevant teams (marketing & PR, wholesale) to optimize delivery timelines for all orders and shipments.
  4. Drive aspects of inventory control and movement, including receiving and inspecting new season product shipments, daily shipments, warehouse storage, and stocktake.
  5. Ensure quality and customer-service standards are met, identify and assist the team in resolving day-to-day issues, and implement improvements in communication across customer service (returns, exchanges, QC, shipment tracking).
  6. Lead discussions with customer service to share best practices and facilitate the exchange of ideas to ensure we are meeting customer expectations within SOP.

40% - Execution

  1. Foster a culture of ongoing improvement within the team.
  2. Ensure the warehouse is well managed with functions and flow, ensuring the team adheres to timelines – visiting the warehouse at least once a week, with more frequency during peak season.
  3. Be accountable and manage the team to ensure all orders and pre-orders are shipped within the promised timeframe to customers.
  4. Conduct stock takes and monitor to ensure the team meets KPIs.
  5. Ensure respective teams process inbound/outbound to/from HQ office by adhering to SOP.
  6. Assist in offline operations, ensuring smooth operation in inventory management – visiting retail stores at least twice a month for stocktake and inventory checking, with more frequency during peak season.
  7. Manage and assist 3PL on pick and pack (when required), stocktake.
  8. Be accountable for monthly and quarterly reporting for product quality checks, shipping, and customer service reports to aid operational performance improvement.
  9. Conduct bi-weekly warehouse visits, especially during major inbound/outbound or peak periods for Ecommerce.
  10. Ongoing and continuous omnichannel reporting and operations improvements that are required for ops, merch, production, and finance to work fluently together.

Qualifications Needed –

  1. Previous work experience of 1-3 years in customer service, stock management, or office administration is a bonus for this position, but fresh graduates are also encouraged to apply.
  2. Minimum SPM or Diploma holder – degree a bonus.
  3. Proficient in Microsoft Office (particularly Word and Excel) and email management.
