Job description

About Us: We are Travelog Holidays Sdn Bhd, a fast-growing travel agency for outbound & inbound travel.

We are seeking a dynamic and results-oriented talent to join our team.

What You’ll Be Doing:

Communication & Coordination:

  1. Handle calls and liaise with airlines, ground operators, and internal teams.
  2. Collaborate with the Operations Manager on product development and updates.
  3. Maintain effective email communication with suppliers, airlines, and ground operators.
  4. Assign and coordinate tour assignments with Tour Leaders.

Booking & Documentation:

  1. Manage bookings for hotels, restaurants, domestic flights, sightseeing, and transportation.
  2. Handle documentation, including rooming lists, confirmations, guest lists, special remarks, and final travel information.
  3. Ensure accuracy in name lists, departure/arrival dates, and other details before issuing air tickets.

Payments & Negotiations:

  1. Monitor and ensure timely payments to airlines and ground operators.
  2. Negotiate with suppliers (hotels, airlines, and transport providers) to secure the best rates.
  3. Prepare and manage budgets for tours while ensuring profitability.

Custom Tours & Itineraries:

  1. Design and quote custom itineraries for private groups.
  2. Oversee and refine tour pricing to remain competitive and profitable.

Problem Solving & Support:

  1. Handle customer cancellations, payment discrepancies, and related concerns.
  2. Address last-minute changes, flight delays, and on-trip issues promptly.
  3. Provide tour leaders with necessary support and guidance during trips.

Safety & Information Management:

  1. Ensure compliance with safety regulations and guidelines during tours.
  2. Stay updated on travel disruptions or safety concerns in destinations.
  3. Provide clients with essential travel details, including emergency contacts.

What We’re Looking For:

  1. Minimum 3-5 years of experience in a similar role within tour operations or as a travel consultant.
  2. Exceptional customer service skills with the ability to anticipate and meet customer needs.
  3. Strong research and problem-solving capabilities to deliver effective travel solutions.
  4. Proficiency in travel booking systems and related technology.
  5. Excellent communication and interpersonal skills for supplier and client interactions.
  6. A passion for travel and delivering exceptional customer experiences.
  7. Ability to collaborate in a team and contribute to innovative offerings.
