Job description

Job Responsibilities

  1. Responsible to get quotation, ensure necessary repair works as recommended by the driver/manager.
  2. Responsible to arrange for schedule servicing of all vehicles, permit renewal, PUSPAKOM checking, road tax, and insurance renewal.
  3. Responsible to ensure the completeness of the accident report is lodged by the driver within 24 hours of the actual event and seek approval whether to claim against insurance policy or otherwise.
  4. Responsible to ensure the validity of the SHELL cards and to timely settle in full by the relevant driver.
  5. Responsible to ensure that all traffic summonses are timely settled in full by the relevant driver.
  6. Responsible to renew and apply parking sticker for relevant vehicles for specific area.

2. Administration of Assets:

Purchasing

  1. Responsible to compile quotations, analyze and recommend for procurement.
  2. Responsible to update procurement & Inventory/Records Maintenance.
  3. Responsible for the accurate and timeliness of recording of the Asset Listing, labeling storage and placement.
  4. Responsible to generate Quarterly Report of Office Assets Inventory.

Disposal

  1. Secretary of Asset Disposal Committee: Plan, organize Asset Disposal Meeting. Compile data for deliberation to enable decision making by the committee.
  2. Responsible to carry out tender exercise for used assets and provision of report.
  3. Responsible to monitor cleaning services provided by service provider.
  4. Responsible to highlight any deviations in terms of service standards and to recommend remedial actions.
  5. Responsible to verify and initiate remedial action on the Daily Cleaning Check List through communication with the service provider.
  6. Responsible to efficiently manage the Pest Control provider by planning, organizing, scheduling, and monitoring the provision of pest control.
  7. Responsible to ensure the validity and renewal of all service agreements entered.

Job Requirements

  1. Diploma/Degree in relevant field.
  2. Minimum 3 years of working experience as an Administrative Officer.
  3. Team player.
  4. Ability to work with strictly confidential information.
