SIRIM Berhad is seeking a highly organized and motivated individual to join our team as an Office Manager in our Johor Bahru location. This part-time role offers a unique opportunity for those looking to contribute to our vibrant office culture while developing their professional skills in a diverse environment.

Key Responsibilities:

  1. Office Operations Management: Oversee daily office operations, ensuring a smooth-running environment. Manage office supplies inventory, placing orders as necessary while maintaining cost efficiency. Implement and maintain effective office procedures and administrative systems. Coordinate office maintenance and liaise with service providers.
  2. Administrative Support: Provide administrative support to senior management and staff, including scheduling meetings, handling correspondence, and preparing reports. Develop and maintain filing systems, ensuring confidentiality and ease of access to documents. Assist in the preparation of presentations and materials for meetings and company events.
  3. Communication Liaison: Serve as the first point of contact for visitors and clients, maintaining a professional and welcoming atmosphere. Facilitate internal communication across various departments and assist in team-building activities. Manage incoming calls and email correspondence, responding to inquiries, or directing them to appropriate staff members.
  4. Financial Administration: Assist in budget tracking and financial reporting, including overseeing petty cash expenditures and processing invoices. Collaborate with the finance department to ensure timely payments and adherence to financial policies.
  5. Project Coordination: Support various projects and initiatives by tracking progress, deadlines, and resources. Participate in brainstorming sessions to foster innovation and suggest improvements to workflows or processes.
  6. Team Collaboration and Culture Building: Foster a collaborative and inclusive office culture that values diversity and encourages idea-sharing. Organize team meetings, events, and activities that promote a positive work environment.

Requirements:

  • Education: Bachelor’s degree in Business Administration, Management, or a related field preferred.
  • Experience: Minimum of 2 years of experience in an office management or administrative role.
  • Personality Traits: Independent and self-driven to work autonomously while being a team player. Motivated with a proactive approach to problem-solving.
  • Soft Skills: Strong presentation skills, with the ability to communicate ideas clearly and effectively. Innovative mindset, with a willingness to propose and implement creative solutions.
  • Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with office management software. Familiarity with basic accounting principles and tools.
