Office Administrator (Facilities Management Specialist)
About the role
We are seeking an experienced Office Administrator (Facilities Management Specialist) to join our dynamic team at UST Global (M) Sdn Bhd in Cyberjaya, Selangor. In this full-time role, you will be responsible for overseeing the day-to-day operations of our office, ensuring a seamless and efficient work environment for our employees.
What you'll be doing
- Maintenance of administration and facility to UST standard
- Daily facility checks and maintaining the checklist. Any maintenance works needs to be done during the weekend
- Seat allocation and tracker maintenance
- Enabling access card for the new joiners and issuing ID card
- Update access card details in Orion
- Security registers to be checked on a daily basis
- Physical Security & Safety
- Cargologistics, Assets and Stores Management
- Issuance of Access card / ID card for associates
- Agreements & Rate Contract
- Seat Allocation
- Facility Management/Building Maintenance/ House Keeping
- Purchase related to REFM
- Electricity Maintenance
- Annual Maintenance Contracts
- Mobile Phone and Data cards
- Transportation
- Postal & Courier
- General Administration
- Complete REFM Operation Monitoring
- Stationary issuance and maintenance
- Electricity usage monitoring and save cost and energy
- Checking the CCTV and ensure it is working throughout
- Capture facility related expenses and maintain MIS
- Vendor management – on time payment, service monitor
- PR and PO process to be maintained
- Weekly update / report
What we're looking for
- Has at least 2 years of related working experience in facility management and willing to take more responsibilities
- Analytical skills: Able to look at a lot of different information and make decisions based on needs and budget concerns
- Communication skills: Able to speak with the employees, and work with the management to make sure the job gets done. Able to clearly explain what needs to be done will be necessary
- Attention to detail: Quality control. Ensure cleaning, upkeep and safety standards are maintained, or efficiencies are discovered.
- Leadership skills: Able to motivate and coordinate employees, as well as deal with any disciplinary issues that may come up.
- Must have experience in Admin/Facility Management, Asset Management, Corporate Services.
- Familiarity with facilities management practices and relevant regulations
