We are looking for a dynamic and organized Office Administration Senior Exec to oversee the management of our office building, physical assets, and office services. This role is pivotal in ensuring that our facilities are maintained to the highest standards, while ensuring compliance with laws, regulations, and company policies. You will play a key role in optimizing operations and managing resources efficiently across the organization.

Key Duties and Responsibilities:

Building Management:

  • Ensure the upkeep and maintenance of the holding company’s building and premises.
  • Safeguard and review contracts, agreements, and external documents related to the upkeep, renovation, or any other transactions concerning the building and its premises.
  • Ensure full compliance with all laws, regulations, and government SOPs relating to the building, premises, and its occupants.
  • Implement best practices and conduct periodic safety and security audits of the building and its premises.

Office Services and Administration:

  • Manage the effective and efficient delivery of administrative functions, including overseeing visitor management, reception duties, meeting rooms, office consumables, cleaning services, telephone lines, dispatch, and deliveries.

Office Equipment and Asset Management:

  • Track and maintain office equipment and physical assets (excluding IT assets) across the office building.
  • Oversee the purchasing of physical assets and the leasing needs for office equipment within the building.

General Management:

  • Manage the allocation and usage of the office building’s car park.
  • Oversee the management of company petrol fleet cards and mobile phones allocated to management staff.
  • Manage the accommodation properties provided for managerial staff within the Group.

Requirements:

  • At least 3 years of relevant experience in building management, office administration, or a related field.
  • Strong knowledge of property management, including maintenance of office buildings, fixtures, and assets.
  • Understanding of safety measures and emergency procedures for both occupants and physical assets.
  • Proficient in office administration, including office consumables management and procurement.
  • Strong written and verbal communication skills.
  • Ability to collaborate effectively with staff, vendors, and external stakeholders.
  • Excellent multitasking, time-management, and organizational skills, with a keen attention to detail.
  • Results-oriented with a focus on operational efficiency.
