Marketing Protege & Executive Assistant to the Chief Customer & Marketing Officer

We are seeking a proactive, organized, and detail-oriented Executive Assistant to support our Chief Customer & Marketing Officer (CCMO) in Kuala Lumpur. This role is essential in enhancing the CCMO's productivity by managing a wide range of administrative, operational, and digital marketing tasks, along with supporting the execution of social media marketing initiatives. The ideal candidate will have a background in digital marketing, bring a high level of discretion, and possess excellent communication skills to operate effectively in a fast-paced, multicultural environment.


1. Administrative Support

  1. Manage the CCMO's calendar, prioritizing and coordinating appointments, meetings, and travel with attention to detail.
  2. Handle and prioritize emails and correspondence, drafting responses, and filtering inquiries on behalf of the CCMO.
  3. Prepare meeting agendas, presentations, and documents that align with the CCMO's objectives.
  4. Track deadlines and assist with timely responses to both internal and external stakeholders.

2. Communication and Coordination

  1. Act as a primary point of contact between the CCMO and internal/external parties, maintaining professionalism and confidentiality.
  2. Communicate project updates, marketing initiatives, and action items to relevant team members and ensure alignment.
  3. Schedule and coordinate team meetings, prepare meeting notes, and ensure follow-up on action items.

3. Project and Task Management

  1. Support in tracking marketing projects, campaigns, and key initiatives to ensure alignment with department objectives.
  2. Prepare presentations, reports, and summaries on marketing performance metrics, campaign outcomes, and project statuses.
  3. Assist the CCMO with personal claims, budget tracking, vendor contracts, and invoice processing as required.

4. Event and Travel Management

  1. Organize both domestic and international travel arrangements for the CCMO and relevant team members, ensuring smooth travel logistics.
  2. Manage logistics for marketing events, conferences, and trade shows within Malaysia, coordinating with vendors and internal teams.

5. Digital Marketing, Social Media, and Customer Experience Support

  1. Assist in executing digital marketing activities, including content creation, social media campaigns, and online brand management.
  2. Support the scheduling and posting of social media content across platforms, ensuring alignment with the brand's voice and objectives.
  3. Monitor and respond to social media inquiries, comments, and messages on behalf of the CCMO, fostering timely engagement with followers.
  4. Collaborate with the digital marketing team to gather data for performance reports, analyzing social media metrics, trends, and engagement to identify areas for improvement.
  5. Work closely with the marketing team to support CRM initiatives, including segmentation, customer outreach, and campaign tracking.
  6. Assist in updating and maintaining the CRM system to ensure accurate customer data, helping streamline communications and improve customer targeting.
  7. Monitor CRM campaign performance metrics and provide insights for optimizing future customer engagement strategies.
  8. Support the CCMO in identifying and implementing initiatives to enhance customer experience, both online and offline.
  9. Help gather and analyze customer feedback through surveys, social media, and CRM data to identify customer needs, preferences, and pain points.
  10. Prepare summaries and reports on customer experience trends, supporting the CCMO's efforts to enhance overall customer satisfaction and loyalty.

6. Research and Market Analysis

  1. Conduct research on market trends, competitor activities, and regional industry news to provide insights for the CCMO's strategic initiatives.
  2. Compile data, create summaries, and present findings that aid in informed decision-making for both marketing and social media strategies.

7. Office and Team Support

  1. Oversee general office duties as needed, including managing supplies, organizing shared workspaces, and handling team requests.
  2. Provide occasional support to other executive team members as required.

Qualifications

  1. Education: Bachelor's degree in Business Administration, Marketing, Communications, or a related field preferred.
  2. Experience: 3-5 years of experience as an executive assistant, preferably supporting C-suite executives. Fresh graduates with first class honours degrees seeking mentorship are also encouraged to apply.
  3. Prior experience or familiarity with digital marketing and social media management is highly desirable.
  4. Skills: Exceptional organizational and multitasking skills. Strong written and verbal communication skills in English (proficiency in Bahasa Malaysia or Mandarin is a plus). Proficiency in Microsoft Office Suite (Excel, PowerPoint, Word) and digital marketing tools such as social media scheduling platforms (e.g., Hootsuite, Sprout Social). Familiarity with project management software (e.g., Asana, Trello) and marketing tools (e.g., CRM, analytics platforms) is advantageous.
  5. Attributes: High level of professionalism, discretion, and integrity in handling confidential information. Keen attention to detail and accuracy. Adaptable and culturally sensitive, with the ability to work effectively in a multicultural environment. Proactive, with a problem-solving approach and the ability to anticipate needs.
