1) Office building management
• Manage and maintain the office building and premises (e.g. office, pantry, prayer rooms, meeting rooms) to be consistently in good conditions.
• Application of best practices and perform periodic audits on buildings and infrastructure to ensure the environment is clean and safe.
• Manage and ensure the plant amenities (e.g.: plants, office deco) are being maintained.
• Support project initiatives pertaining structural and administration matters undertaken by the Company.
2) Office and Administration services
• Manage and ensure the effective and efficient rendering of administration functions, including the management of visitors, reception, meeting rooms.
• Manage visitors (including vendors/ suppliers) and customers who visit the Plant.
• Manage office cleaning, telephone line and dispatch.
• Perform periodic reviews for continuous improvements for Office Administration processes.
3) Office equipment, furniture and assets management
• Manage, track and upkeep of office infrastructure and physical assets (not including IT assets).
• Manage and oversees the purchasing need for physical assets and leasing need for office equipment.
• Perform periodic analysis to ensure optimum level of physical assets and cost management.
• Collaborate with PEM / Production to identify area within operations where temperature control is critical and take steps (e.g. spare unit, competent person for unit replacement) to ensure no disruption.
• Keep track of service records of aircond units and propose for replacement if required (e.g. beyond repair, rampant breakdown).
• Record every incident of breakage of room fitting and furniture (e.g. office chair, tables) and office equipment malfunction (e.g. LCD projector, etc.). Maintain service record for each IT equipment.
• Ensure the broken units (beyond repair) are replaced as soon as possible.
• Maintain a service record for each unit of elevator in the site and ensure that periodical maintenance is conducted.
4) Consumable and pantry items
• Monitor usage and replenish consumables (e.g.: stationery, pantry items).
• Perform periodic analysis on consumption of office consumables and provide management the report month.
JOB REQUIREMENTS:
A. Qualification
• Possess minimum Degree in Property Development/Real Estate Management/Business Administration/Building Maintenance or equivalent from recognized university/college.
B. Experience
• Minimum 7 years in a supervisory role and 5 years in office/building management and administration function.
• Working knowledge of relevant laws and management of office buildings; fixtures and fittings, equipment and other fixed assets in the building; office administration matters, including office consumables and purchasing.
• Working knowledge of safety measures and emergency procedures for occupants, building and physical assets in the building and its premises.
• Update with best practices for safety, upkeep and maintenance, utilities management and procurement.
• Experienced in adapting work practices for pandemic SOPs and other emergency situations.
