Job Purpose
Execute the HR Administration/Shared Services plan to deliver best in class HR services, products and systems in line with current/ future business needs, HR Administration/Shared Services strategy, best practices, expected service quality standards and cost budgets.
Key Tasks
- Define and execute plans including metrics and budgets for own area in line with overall HR Administration/Shared Services strategy.
- Responsible for overseeing the integrity, accuracy and security of employee data, adhering to data privacy regulations and internal audit controls.
- Conduct regular audits to identify and resolve discrepancies in employee records.
- Ensure consistency and compliance of employee records in HR systems (eg. Oracle, Payroll, Leave and T&A).
- Maintain and enforce data governance policies and procedures.
- Monitor and report adherence to service delivery standards, metrics, and budgets for review of implementation; Seek and implement inputs for corrective actions.
- Seek and analyze feedback gathered from HR Partners and employees to understand current and anticipate future HR needs of assigned businesses/ functions.
- Generate ideas for new HR services and review existing HR services, products, processes, and tools to meet current/future needs, improve service delivery quality and streamline processes and services.
- Collaborate with IT, Service Providers, HR technology teams to enhance HRIS functionality, reporting capabilities and resolve complex cases.
- Drive automation and process improvements to increase efficiency and reduce errors in data administration.
Stakeholder Management
- Serve as the key point of contact for any employee data related issues.
- Understand customer and key stakeholders’ interests and concerns and advise direct reports, customers and key stakeholders.
- Build strong, trusting relationships with DHL Managers.
- Extensive contact with other specialist departments.
- Cooperate with and coordinate 3rd parties e.g., external service providers.
Management Responsibility
- Lead, mentor and manage a team responsible for employee data processing, accuracy and compliance.
- Assign tasks, set performance goals and monitor workload distribution.
- Conduct regular 1:1 with direct reports to provide feedback, coaching, and support for professional development.
- Provide training and guidance to HR Services team on data management best practices.

Qualifications & Key Requirements
Education Level
- Bachelor’s Degree, preferably in HR Management
Experience Level
- More than 5 years in HR Operations
- Minimum 3 years in people management
