Control employee attendance based on their respective operational working hours.
Provide counseling to employees who make mistakes or violate company regulations.
Submit Show Cause Letters and/or Warning Letters for employees who commit work violations after coordination with HR.
Prepare reports on foreign workers who will continue their contracts, undergo FOMEMA tests, or be repatriated, in coordination with HR.
Monitor fan control reports and cage security managed by on-duty security guards.
Collect and summarize overtime reports for submission to superiors.
Prepare summary reports on warehouse stock usage and develop purchasing plans based on the approved budget.
Coordinate payments to third parties, including local Regional Assembly fees, electricity bills, water bills, tax payments, and other company-related expenses.
Assist employees with banking and immigration matters.
External Relations:
Contact and coordinate with local government agencies to ensure compliance and avoid penalties.
Maintain good relations with the village head and local authorities.
Provide incident reports to relevant parties if any cases arise at the farms and hatchery, after coordinating with superiors and HR.
Production Support:
Manage the procurement of poultry-related goods, including spare parts for the production team.
Arrange the purchase of food for the canteen.
Oversee the delivery of goods from suppliers to farms and hatchery.
Develop and implement a maintenance schedule for generators, cables, and all electricity-related equipment, including TNB connections.
Identify potential buyers for culling chickens, sexing chickens, old chickens, non-hatching eggs, DOC cull, manure, and scrap.
Organize sales schedules for the above items based on management decisions.
Prepare sales summaries, including quantities and total revenue received, subject to management approval.
Ensure timely transfer of all sales proceeds to the finance team.
Safety:
Coordinate with the safety team to report any incidents at the farms and hatchery.
Prepare monthly safety reports.
Manage hazardous waste disposal in collaboration with the safety team.
Driver Management:
Supervise and coordinate driver tasks, including:
Managing transportation for company guests.
Transporting foreign workers to health clinics for FOMEMA tests.
Assisting foreign workers with passport renewals at embassies.
Coordinating trips to immigration offices for work permit processing.
Overseeing deliveries of goods from suppliers to farms and hatchery.
Arranging employee transportation to government agencies when required.
Cleaner Management:
Assign and oversee cleaning duties, including office maintenance and other ad-hoc tasks.
Other Duties:
Perform any other lawful tasks assigned by the company, as appropriate.
Qualifications & Requirements:
Education: Diploma or Bachelor's Degree in Business Administration, Management, Human Resources, Agriculture, or a related field.
Experience: Minimum 5 years of experience in general affairs, administration, or related roles, preferably in the poultry or agriculture industry.
Skills:
Strong leadership and management skills.
Excellent coordination and communication abilities.
Knowledge of local regulations and compliance requirements.
Ability to multitask and manage multiple responsibilities efficiently.
Proficiency in Microsoft Office (Word, Excel, PowerPoint) and administrative tools.
Other Requirements:
Willing to work on-site at farm and hatchery locations.
Possess a valid driving license and be willing to travel for work-related matters.
