Job description

Responsible for managing all aspects of collection and delivery, specifically with regard to customer satisfaction.
To travel locally or outstation, liaise and communicate with intercompany, suppliers and customers to resolve shortages, goods damage, and other ad-hoc matters to achieve profitable deals and mutual satisfaction.
Plan and track collection & deliveries of final products according to customer requirements.
Maintain logs and records of various orders and executed orders, assigning scheduling drivers according to availabilities and requirements.
Monitor petrol, TNG usage, and Credit Note status.
Assist in monitoring legal transport requirements such as Vehicles Licence, Road Tax, Puspakom, JPJ, and oversee all JPJ and legal matters regarding company assets (trucks and trailers).
Check on driver’s claims, commission, and allowance.
Coordinate with the finance department for any advance/partial/balance payment arrangement for delivery arrangements.
Prepare delivery schedules for logistic teams in a timely and cost-effective manner.
Conduct in-depth analysis of market trends for improving accuracy and effectiveness of future forecasts.
Manage orders volume and assist in planning and purchasing company vehicles.
Respond immediately to customer queries and complaints, notifying them of any delays in the delivery schedule.
Develop a strategy for decreasing vehicle costs.
Study market needs & develop new delivery services programs.
Compile & analyze data on vehicle capacity utilization.
Maintain complete filing & documentation for every truck repair or part replacement.
Follow up repairs with in-house workshop and purchasers, assisting with quotations to ensure truck repairs are properly followed up.
Ensure GPS monitoring systems are functioning well at all times; organize repairs at workshop or designated panel workshop as needed.
Supervise inspection of Trucks application (PUSPAKOM) a minimum of 2 weeks in advance from Road Tax expiry.
Schedule planned down-time maintenance of trucks with the workshop to ensure sufficient space and reduce overcrowding.
Propose to management twice a month on truck driver troubleshooting issues such as low trip commission trips, troubled trips, and low truck efficiency.
Organize logistic operations, driver education, and targets by encouraging drivers to create the most efficient routes and report on driver effectiveness, ensuring all drivers follow vehicle regulations and laws.
Responsible for arranging towing or in-house rescue teams to assist truck drivers in unexpected breakdown situations (tyre puncture, malfunction, etc.).
Assist in developing new strategies to streamline processes and reduce costs.
Ensure that quality, quantity, customer satisfaction, and financial commitments are met.
Perform metrics reporting and data analysis tasks to identify issues and opportunities for process improvements.
Make recommendations to management for continuous improvement of service delivery processes and identify cost-saving opportunities.
Communicate well with manufacturers, suppliers, and customers.
Prepare accurate daily planning reports, forecast reports, weekly actual deliveries reports, monthly defective reports, and yearly budgeting reports for Top Management.
Hold safety orientations and regular meetings with new drivers on safety procedures. Assist in preparing documentation of safety SOPs, Drivers handbook manual, and actions to undertake for safety procedures in the event.
Create and enforce policies and practices for logistics activities that focus on effectiveness, sustainability, and efficiency.
Make special shipping arrangements as necessary.
Undertake any other duties and responsibilities assigned by the Head of Department from time to time.

Qualifications

Bachelor's degree in supply chain management, operations, logistics, business administration, transportation, or engineering.
Minimum 3 years of experience working in logistics, warehouse, or transportation operations.
Well-versed in supply management principles and practices (e.g., supply chain, inventory, distribution, business, and management principles).
Strong team player, hard-working, and dedicated.
Exceptional verbal and written communication skills in Malay & English.
Strong analytical mind with problem-solving aptitude.
Great knowledge of vehicles.
Ability to work with little supervision and track multiple processes.
Knowledge of laws, regulations, and ISO requirements.
Computer literate, well-versed in Microsoft Word and Microsoft Excel.
Ability to manage, coach, and provide training for direct reports.
Exceptional organizational and analytical skills.
Working knowledge of logistics and inventory.
Outstanding organizational and coordination abilities.
Excellent communication and interpersonal skills.
Keen on working in a fast-paced environment.
Incredible time management skills.
Ability to analyze large sets of data and draw conclusions.
