Job Responsibilities
Organize and support Corporate Governance job with instruction of Directors.
Take communication with Japan office related to Corporate Governance when necessary.
Plan and proceed with IT utilization among the company together with Management.
Communicate with IT department and related departments to proceed with any IT-related project.
Manage Corporate Support Team to proceed with overall back-office job.
Exhibit excellent communication skills and proactive attitude to maintain a healthy relationship among employees.
Demonstrate excellent organizing and tidying skills to handle documentation and schedules for the company.
Manage and improve KL office facilities, infrastructure, conditions, and office security.
Understand Japanese company culture (actual experience not required, but a willingness to understand is important).
Manage and lead the career development of subordinates.
Able to discuss and propose organization structure and staff career development plans.
Attend meetings with Japan related to Corporate Governance and co-work with Directors to implement.
Plan and propose ideas to upgrade company operations, including IT usage.
Support analyzing and updating overall company regulations and policies with Directors.
Collaborate and communicate with company secretariat in all business-related matters arising from operations.
Support expatriates in work permit applications and provide basic personal lifestyle support.
Support and arrange hiring procedures to ensure sufficient manpower in the Sales office through communication with other staff.
Monitor and arrange onboarding programs for new employees (ID, PC, Email address, Name Card, etc.) to ensure a smooth hiring process.
Manage and monitor reporting of attendance and OT matters to enable accurate salary calculation.
Coordinate and organize all related forms, including leave forms, staff tokens, and PR.
Communicate and execute newly established policies as support for HRGA and/or Directors.
Understand the Sales office situation and propose upgrades to policies, events, office setup, etc.
Monitor and implement ideas to provide good hospitality to visitors and clients.
Support Sales team and Directors on travel arrangements (Visa, Flight, Stay, Logistics, Allowance, etc.).
Coordinate and arrange training for Sales Teams with HQ.
Act as Safety and Health representative for Sales Team in the SHE Committee.
Complete necessary documents and licenses to maintain office operations.
Monitor and manage company-related assets efficiently.
