Job description
  • Manage end-to-end recruitment processes, including job postings, screening candidates, conducting interviews, and onboarding new hires.
  • Maintain and update employee records, contracts, and HR databases to ensure accuracy and compliance.
  • Oversee payroll processing, ensuring timely and accurate salary payments, statutory contributions (EPF, SOCSO, EIS), and compliance with Malaysian labor laws.
  • Administer employee benefits, leave applications, medical claims, and staff welfare programs.
  • Handle employee relations matters, including grievance handling, conflict resolution, and disciplinary actions in accordance with company policies and labor laws.
  • Develop and implement HR policies and procedures to ensure alignment with industry best practices and legal requirements.
  • Conduct performance appraisals and assist in employee training and development programs.
  • Plan and coordinate staff training, wellness programs, and engagement activities.
  • Ensure compliance with HR-related regulations and labor laws in Malaysia.

Office Administration & Facility Management

  • Oversee general office administration, ensuring smooth day-to-day operations of the wellness center.
  • Manage office supplies, procurement, and inventory control to ensure availability of necessary materials.
  • Ensure proper maintenance of office equipment, facilities, and workspaces.
  • Coordinate with vendors and service providers for facility management, including cleaning, security, and maintenance services.
  • Handle document control, filing systems, and administrative record-keeping for easy retrieval.
  • Support licensing, permits, and renewals required for center operations.
  • Assist in the planning and execution of company events and meetings.

Employee Engagement & Workplace Culture

  • Organize and implement employee engagement activities to foster a positive workplace culture.
  • Conduct orientation programs for new employees and facilitate team-building initiatives.
  • Promote workplace wellness programs and initiatives to support employee well-being.
  • Address employee feedback and concerns to improve workplace satisfaction and retention.

Regulatory Compliance & Reporting

  • Ensure compliance with Malaysian labor laws, statutory contributions (EPF, SOCSO, EIS, LHDN), and other relevant employment regulations.
  • Prepare and submit HR-related reports, such as workforce planning, attendance records, and training schedules.
  • Assist in audit preparations and ensure HR documentation is in order for compliance checks.
  • Liaise with government agencies (KWSP, PERKESO, LHDN, DOSH) as necessary.
  • Assist in the renewal of business licenses and other operational permits.

Administrative Support for Management

  • Provide administrative support to senior management, including scheduling meetings, preparing reports, and handling confidential documents.
  • Assist in preparing HR-related policies, recruitment updates, and employee analytics as needed.
  • Act as a point of contact for internal and external HR/administrative inquiries.
