HR Specialist

The positions responsibilities will focus on HRIS administration and maintenance including maintenance for the life cycle of employee. This position will work based on maintaining compliance and regulatory standards, and drive for total Human Resource compliance per legal needs and business requirements in protecting data privacy and administration of personal records.

Responsible for managing an organization's payroll processes. Oversee the calculation and distribution of employee salaries, bonuses, benefits, and other compensation. The Payroll Specialist ensures that all payments are accurate, timely, and compliant with legal and regulatory requirements.

Your responsibilities include, but not limited to:

1. Data entry and maintenance of employee data in HR systems, ensuring accuracy of the data/information.
2. Ensure timely submission of employee movement and act as the primary contact for payroll generation (payroll data inputs).
3. Be point of contact for audit activities in relation to employee personal data.
4. Responsible for weekly, monthly reporting including, but not limited to headcounts reporting, employee movement, leave utilization, absenteeism, CSR, plant review and any other report that may be required from time to time.
5. Upkeep and maintenance of employee personnel files.
6. Support in audit sessions and cross check documents to make sure no discrepancies or non-compliance findings occur.
7. Other ad-hoc duties may be assigned when necessary.

1. Prepare bonus, incentive or any ad-hoc or additional payment.
2. Assisting with HR KPI report & any HR related report request within or outside HR department.
3. Managing any special request related to Leave, Attendance & Payroll.
4. Ensure all statutory complies with regulations.
5. Ensure accurate & timely processing of payroll transactions.
6. Monitor & manage defects to ensure data correctness is as per the KPI set.
7. Monitor records and take actions on exceptions.
8. Conduct regularly scheduled audits on payroll records to ensure continued accuracy & safekeeping all payroll records for Business Continuity Plan.
9. Liaise with employees pertaining to payroll & attendance related queries.
10. Identify any possible process enhancement & to be involved in identified projects.

You must possess the below minimum qualifications to be initially considered for this position. Preferred qualifications are in addition to the minimum requirements and are considered a plus factor in identifying top candidates.

1. Bachelor’s degree in Business Administration/ Human Resource Management or related discipline.
2. Relevant work experience of at least 2 years in similar capacity.
3. Outstanding attention to details.
4. Trustworthy with attention to confidentiality.
5. Proficient in Excel.

1. Experience with records maintenance for HRIS systems.
2. Experience in processing & managing Malaysia payroll & any APAC countries payroll (preferably Singapore & China) with understanding of some accounting fundamentals & payroll best practices.
3. System knowledge and experience in SuccessFactor or similar HRIS platform.
4. Very good knowledge of Malaysia Payroll legislation & regulations with some understanding of other APAC countries.
