Job Title: HR Operations Assistant Manager (Immediate hiring)

Location: Remote / Publika (Work from office on Thursday and/or Friday every week)

Reports to: Group CEO and HR Lead

Job Type: 1-year contract (on-a renewable basis)

Salary: RM4000 to RM4800

Job Summary:

The HR Operations Assistant Manager is responsible for supporting the HQ Team in executing and enhancing HR operations. This role focuses on ensuring efficient HR processes, managing employee relations, and assisting in the administration of HR policies and programs. The ideal candidate will have strong organizational skills, a deep understanding of HR operations, and the ability to handle sensitive information with discretion.

Key Responsibilities:

HR Operations Management:

  • Manage the day-to-day HR operations, including employee records management, HRIS maintenance, and payroll processing.
  • Ensure compliance with local labor laws and company policies.
  • Support the HQ Team in implementing HR policies, procedures, and best practices.

Recruitment & Onboarding:

  • Coordinate with the recruitment team to manage job postings, candidate screenings, and interview scheduling.
  • Oversee the onboarding process, ensuring new hires are integrated smoothly into the organization.

Employee Relations:

  • Serve as a point of contact for employee queries and concerns.
  • Support the resolution of employee issues, ensuring fair and consistent application of company policies.
  • Assist in conducting investigations and preparing related documentation.

Performance Management:

  • Assist in the implementation and management of performance appraisal systems.
  • Provide support to managers and employees during performance reviews.
  • Monitor and track employee performance data to support career development and succession planning.

Training & Development:

  • Collaborate with the HQ Team to identify training needs and develop training programs.
  • Coordinate training sessions and ensure employees complete required training.
  • Maintain records of training activities and evaluate their effectiveness.

HR Reporting & Analysis:

  • Generate and analyze HR reports, including turnover rates, employee engagement, and compensation metrics.
  • Provide insights and recommendations based on data analysis to improve HR practices.

Compliance & Documentation:

  • Ensure all HR-related documentation is accurate, up-to-date, and compliant with legal requirements.
  • Assist in maintaining and updating the employee handbook and other HR policies.

HR Projects:

  • Support HR projects, including policy reviews, employee engagement initiatives, and process improvements.
  • Assist in the planning and execution of company-wide HR initiatives.

Qualifications:

  • Bachelor’s degree in Human Resources, Business Administration, or a related field.
  • 3+ years of experience in HR operations or a similar role.
  • Strong knowledge of HR practices, employment laws, and HRIS systems.
  • Excellent interpersonal and communication skills.
  • Strong organizational and time management skills.
  • Ability to handle confidential information with discretion.
  • Proficient in MS Office (Word, Excel, PowerPoint).
  • Familiarity with Kakitangan, Airtable, G-Suite, Slack are added advantage.
