Job description

1. Draft, review, and finalize various HR-related documents, including offer letters, confirmation letters, promotion letters, increment letters, transfer letters, and any other necessary letters, ensuring all details are accurate and compliant with company policies.

2. Regularly monitor and update the status of HR-related documents in the designated system and shared folder, ensuring that all operation managers have access to the most current information and can track progress effectively.

3. Continuously update and maintain the company’s organizational charts to accurately reflect structural changes, role modifications, and reporting lines, ensuring that all employees have access to the latest organizational information.

4. Collaborate with the payroll team to accurately identify and verify employee attendance, overtime hours, and duty rosters, ensuring compliance with labor regulations and that payroll calculations are precise.

5. Supervise the entire process of employee claims, ensuring that all necessary documents are completed accurately and submitted in a timely manner to the Accounts Department for prompt reimbursement. This includes reviewing claim submissions for compliance with company policies, providing guidance to employees on required documentation, and maintaining meticulous records of all claims for future reference and auditing purposes. Additionally, monitor the status of pending claims to facilitate timely resolution and communication with employees.

6. Create and maintain organized personal files for each employee, ensuring that all information is stored securely, confidentially, and is easily accessible for HR purposes.

7. Coordinate the preparation, distribution, and inventory management of retail staff uniforms and nametags, ensuring all employees are equipped with the necessary attire to represent the company professionally.

8. Assist the receptionist in managing incoming parcels and addressing walk-in requests from employees and visitors, ensuring that all inquiries are handled efficiently and professionally.

9. Support the procurement process for office stationery by assessing supply needs, ordering necessary items, and ensuring that adequate supplies are always available for employee use.

10. Promptly respond to all general inquiries from employees via WhatsApp and email, efficiently directing each request to the appropriate HR point of contact to ensure timely resolution of issues.

11. Undertake various ad hoc requests and special projects as assigned by the Head of Department, demonstrating flexibility and a proactive approach to supporting the HR team and organizational goals.
