Job description

We are seeking a dedicated and highly motivated HR Executive to join our dynamic Human Resources team. The HR Executive will play a pivotal role in supporting a variety of HR functions, ensuring the efficient implementation of HR processes and policies, and maintaining a positive and productive work environment. The ideal candidate will have strong interpersonal skills, a proactive mindset, and an ability to manage various HR tasks effectively within the context of Malaysian labour laws and regulations.

Responsibilities:

  1. Recruitment, Onboarding and Employee Profile Management:
    • Assist in the recruitment process including job offering and the preparation on letter of appointment.
    • Prepare and manage the onboarding process for new hires, ensuring smooth integration into the company culture.
    • Ensure that all employee profiles are updated in a timely manner, reflecting any changes in personal information, job positions, salary adjustments, and benefits.
  2. Employee Relations:
    • Act as the first point of contact for employee inquiries related to HR policies, benefits, and workplace issues.
    • Assist in resolving employee grievances and conflicts in a fair and professional manner.
    • Promote employee engagement and well-being through activities, initiatives, and internal communication.
  3. Compensation and Benefits:
    • Assist in administering employee benefits programs (health insurance, annual wellness screening, etc.).
    • Process payroll data, including attendance, overtime, and leave requests in line with company policies and legal requirements.
  4. Training and Development:
    • Identify employee training needs and help coordinate internal and external training programs.
    • Maintain training records and assess the effectiveness of training initiatives.
    • Use the HRDC (Human Resource Development Corporation) portal to apply for training grants and manage claim submissions related to training programs for employees.
  5. Compliance and Reporting:
    • Ensure HR policies and practices comply with the relevant labour laws in Malaysia, including the Employment Act 1955, Industrial Relations Act 1967, and other statutory requirements.
    • Maintain accurate and up-to-date employee records in compliance with legal and regulatory requirements.
    • Assist in preparing reports related to HR metrics, workforce analytics, and employee turnover.
  6. Other HR Functions:
    • Support various HR projects and initiatives as needed.
    • Assist in organizational development activities and maintaining a positive company culture.
    • Order and maintain stationery and pantry items supplies, ensuring that necessary items are stocked and available for staff use.
    • Maintain confidentiality of sensitive information.

Requirements:

  • Bachelor’s degree in Human Resources, Business Administration, or related field.
  • Minimum of 1-2 years of HR experience, preferably within Malaysia.
  • Familiarity with Malaysian labour laws and HR best practices.
  • Strong interpersonal and communication skills, with the ability to engage effectively at all levels of the organization. Command of spoken Mandarin will be an advantage.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint), HRDC portal and payroll system.
  • Ability to handle confidential information with discretion and professionalism.
  • Highly organized with a keen attention to detail.
  • Self-motivated with the ability to work independently and as part of a team.
  • Strategic thinker with excellent problem-solving skills and attention to detail.
  • Willing to work in Johor Bahru.
