About the role
MAKEEN ENERGY MALAYSIA SDN. BHD. is seeking an experienced HR & Admin Executive to join our team on a contract basis. This is a key role that will support our operations in Bandar Sri Damansara, Kuala Lumpur. As the HR & Admin Executive, you will be responsible for managing a range of HR and administrative functions to ensure the smooth running of our business.
What you'll be doing
HR Operations and Payroll Management:
- Manage end-to-end payroll processing, ensuring accuracy and timeliness.
- Oversee attendance tracking and prepare attendance reports.
- Maintain and update the HR database with accurate employee records.
- Process HR-related documentation and prepare reports on various personnel activities (staffing, recruitment, training, grievances, performance evaluations, etc.).
- Maintain and update ISO documentation to comply with QMS requirements.
Recruitment and Onboarding:
- Coordinate the full recruitment cycle, including job postings, candidate communication, interview scheduling, and prepare job offer.
- Assist in conducting new employee orientations and onboarding processes.
Training and Development Management:
- Oversee the entire training process, including needs assessment, planning, and execution.
- Manage HRD Corp related activities, including grant applications, claims, and compliance.
- Conduct Training Needs Analysis (TNA) across the organization.
- Develop and maintain the company's training calendar.
- Coordinate internal and external training programs.
- Track and report on training effectiveness.
- Maintain accurate training records.
Administrative Management:
- Oversee office administration, including management of stationery, office equipment, maintenance, cleaning services, and refreshments.
- Monitor and manage renewals for maintenance contracts (fire extinguishers, pest control, GPS, etc.).
- Monitor and facilitate renewal of company certificates and licenses (MBPJ, MEF etc.)
Employee Relations:
- Assist in implementing HR policies and procedures.
- Support the organization of employee engagement activities and events.
Compliance and Reporting:
- Ensure compliance with labor laws and company policies in all HR processes.
- Assist in reviewing and updating HR policies and procedures, providing recommendations for improvements.
- Research industry best practices and legal requirements to contribute to policy development.
Support to HR & Admin Team:
- Provide high-level support to the HR & Admin Team in strategic HR initiatives.
- Assist in developing and implementing HR policies and procedures.
- Contribute to HR project and continuous improvement initiatives.
Cross-functional Collaboration:
- Serve as an HR business partner to one or more departments, gaining exposure to different areas of the business.
- Collaborate with other departments on initiatives that impact employee experience and organizational effectiveness.
Additional Responsibilities:
- Undertake ad-hoc tasks and projects related to Human Resources and administrative duties as required.
- Perform other tasks assigned by superiors from time to time.
What You Bring to the Table:
- Education: Degree in Human Resources or Business Studies.
- Experience: Minimum 2 years in HR, focusing on general HR.
- Contract duration: 1 year.
- Skills:
- Proficient in HR systems and Microsoft Office.
- Strong communication and interpersonal abilities.
- Good understanding of Malaysia Labour Law (EA 1965) and Industrial Law (1967).
- Attributes:
- Positive, self-motivated, and a fast learner.
- Strong analytical and problem-solving skills.
- Able to work independently under pressure.
- Fluent in Bahasa Malaysia and English.
- Hours: Flexible working hours (Monday to Friday).
