About You

The HR & Accounting Administrator is responsible for managing day-to-day administrative, financial, and human resource functions of OLEOLOGY’s operations in Malaysia. This position ensures accurate financial record-keeping, supports HR processes, coordinates with headquarters in Perth, and maintains regulatory compliance in accordance with Malaysian laws and company policies.

Key Responsibilities

  1. Human Resources Administration
    • Manage and maintain employee records, contracts, onboarding and offboarding documentation.
    • Coordinate recruitment activities including screening applications and scheduling interviews.
    • Process monthly claims, and ensure compliance with Malaysian employment laws.
    • Track leave balances, attendance, and assist in preparing HR reports.
    • Coordinate performance appraisal processes and training documentation.
    • Act as a liaison between Malaysian staff and the Perth HR team to ensure alignment of policies.
  2. Accounting and Finance Support
    • Maintain accurate and up-to-date financial records, including invoices, receipts, payment vouchers, and petty cash.
    • Assist in preparing monthly financial reports and statements for submission to Perth HQ.
    • Support accounts payable and receivable functions including supplier invoices, customer billing, and payment tracking.
    • Handle bank reconciliations and ensure all transactions are properly recorded.
    • Ensure compliance with local taxation (SST), audit requirements, and liaise with external accountants and tax agents.
  3. Office and Administrative Support
    • Manage general office administration tasks including supplies procurement, documentation, filing, and correspondence.
    • Maintain compliance with local regulatory requirements such as SSM, LHDN, and immigration if needed.
    • Assist with internal coordination of projects, meetings, and logistics.
    • Ensure confidentiality and proper handling of company and employee information.
  4. Cross-border Coordination
    • Collaborate closely with the Perth head office to ensure smooth cross-border financial reporting, HR alignment, and operational consistency.
    • Assist with reporting requirements for Australian HQ and help bridge compliance differences between Malaysian and Australian practices.

You Should Have:

  1. Qualifications & Experience
    • Diploma/Degree in Accounting, Human Resource Management, Business Administration, or related field.
    • 2–5 years of relevant experience in either a HR administrative or accounting/finance administrative role.
    • Experience working in a multinational or cross-border environment is highly desirable.
    • Knowledge of Malaysian employment law.
    • Familiarity with basic accounting principles, invoicing, and financial documentation.
    • Proficiency in Microsoft Excel, Word, and accounting software (e.g., QuickBooks, Xero, or similar).
    • High level of accuracy, confidentiality, and attention to detail.
    • Strong organizational and time-management skills.
    • Good interpersonal and communication skills (English and Bahasa Malaysia).
