Job description
The Position

The HP Operations & Customer Event Executive is responsible to provide support to HP Operations team in all HP Operations executional tasks and support in customer event implementation.
Customer event responsibility including the coordination and implementation of internal and external events, budget tracking, launch readiness coordination, event date monitoring, management of contracts and customer communication platforms and customer feedback data collection.

Duties & Responsibilities
  1. HP Operations Department executional tasks support
  • Responsible for providing implementation and administrative support to the HP Operations department.

2. Support end-to-end process of customer events:

  • Support in all the customer event related topics implementation.
  • Developing logistical materials for events.
  • Fulfilling role of point of contact for logistical arrangements of regional experts and international experts engaged in regional events.
  • Coordinating contracts (Vendor and HCP)
  • Event management system update and data management
  • Fulfilling role of vendor liaison when meetings are greater than the capacity as defined for in house management.
  • Fulfilling advance for activities and coordination with cross functional team.
  • Tracking budget including accruals.
  • Planning travel and reservations
  • Maintaining of communication platforms.
  • Fulfilling the role of Coordinator for OPU launch readiness, including maintenance and updates of LR Master file in alignment with LR champions and DRA.
  • Proactively engaging with and managing multiple customer needs and response to customer according to Boehringer Ingelheim MSI guidelines and SOPs.

3. Customer feedback

  • Support adoption of communication & customer feedback platforms and process to optimize excellent customer experience.
  • Quality customer feedback data collection for better customer insights and planning.

4. Adhere and comply with all MSI countries regulations regarding interactions with healthcare professionals (HCP's), following the BI Code of Conduct.

5. Other support

  • When required, to be elected as a committee member to support and collaborate with team members to brainstorm and plan company events which include but are not limited to annual/mid-year conference, ADD, VTI day.
  • Contribute creative ideas and suggestions to enhance the overall event experience.
  • Assist in coordinating logistics, including venue selection, catering, and entertainment arrangements.
  • Attend committee meetings to stay informed about event details, updates, and any changes in plans.
  • Support the execution of events, ensuring a smooth and enjoyable experience for all attendees.
  • Uphold company values and foster a positive and inclusive atmosphere during events.
  • Perform any other related duties as related to the above.
Requirements
  • Bachelor’s Degree
  • 2-3 years’ experience in the similar role; pharmaceuticals industry is preferred but open from others
  • Organized and good communication and interpersonal skills
