Finance Executive/AP Executive

Job Responsibilities:

• Coordinate the monthly accounting closing with the accounting team in GBS, ensuring completeness of bank reconciliation, clearance of OIM GL, and proper accruals/prepayment.
• Review monthly Balance Sheet reconciliation and suggest improvements.
• Perform variance analysis and analytical review on financial statements. Propose recommendations and action plans for identified discrepancies and risks.
• Complete reporting and submissions as required.
• Ensure proper accounting record keeping and reporting to meet the requirements of internal audit, external auditor, and local authority.
• Prepare Unclaimed Monies Act Report.
• Assist in yearly fixed asset verification for both countries.

Audit & Tax Responsibilities:

• Manage queries and preparation of required schedules/information for both internal and external audit exercises.
• Ensure adherence to all internal controls in daily operations.
• Support Tax/GL team and work closely with the regional office on ongoing tax topics.
• Ensure timely and accurate filing of all applicable tax returns for local entities, branches, and carriers’ representation.
• Ensure timely review of Transfer Pricing documents.
• Stay updated and ensure compliance with local tax laws.

Budget & Forecast Responsibilities:

• Coordinate with other HODs in the completion of the budget & forecast exercise.
• Review with Finance Manager & CFO in finalizing the budget numbers.
• Work with GBS and Regional Office on OneStream reporting.

Account Payable Executive Responsibilities:

• Ensure all trade and non-trade invoices are booked in accordance with the company's SOP, followed by payments and AP ledger account housekeeping.
• Work closely with SSC India to ensure all AP processes comply with company policy.
• Assist SSC in attending to supplier disputes, payments, or any ad-hoc local requests if needed.
• Review daily aging reports.
• Oversee weekly payment schedule prepared by SSC and collaborate with treasury on manual reserves for fund allocations.
• Raise requests in the system for urgent payments if necessary.
• Work closely with MYSG terminal/suppliers on AP-related issues.
• Monitor monthly utilities for bills and corporate payments.
• Process and approve staff claims.
• Support agency management and other functions such as Operations, Commercial, and Logistics when necessary.
• Prepare analysis reports or any other reports assigned.
• Assist in ad-hoc tasks assigned by the manager.

Minimum Level of Qualification:

• Fresh graduates are encouraged to apply.
• 2-3 years of working experience in Finance/accounts payable, with more than 2 years in a multinational/international organization.
• Preferably experience in the shipping, logistics, and/or transportation industry.
• Bachelor’s degree in Finance & Accounting; CPA qualification is a plus but not required.
• Experience working in both Malaysia and Singapore or covering Singapore-based customers.
