The Facility Manager is a replacement role responsible for managing the day-to-day operations of office administration, facility management, and centralized secretary services for the Directors. This role requires an individual who is organized, proactive, and skilled at multitasking in administrative support, facility oversight, and assisting executives with daily tasks. Responsibilities also include optimizing office administration processes and addressing related needs and issues.
MAIN RESPONSIBILITIES
Office Administration & Facility Management
- Responsible for SDC-KL administrative matters and ensuring a conducive working environment.
- Maintaining office policies & procedures, updating as necessary to optimize workflow and productivity.
- Act as the focal contact point with facility management vendors, contractors, and building management to address facility-related issues promptly and efficiently.
- Responsible for office supplies, equipment maintenance, and procurement & sourcing activities.
- Manage facility & office administration budget & expenses, seeking cost-effective solutions without compromising quality.
- Champion the reinforcement of safety & health (WISE2).
- Supervise administrative staff, delegating tasks and ensuring completion with accuracy and efficiency.
- Manage logistical support for business trips, including hotel bookings, appointments, conferences, and travel reservations.
- Perform any additional tasks/job functions as deemed fit by the Line Manager.
- Responsible for ASDC Purchase Requisition generation, vendor registration, and goods receive/delivery order notes.
- Manage overall contract performance and ensure adherence to service level agreements by vendors.
Centrally Managed Secretary Services
- Provide comprehensive support to Directors including calendar management, meeting coordination, and travel arrangements.
- Handle confidential information with discretion and professionalism. Maintain confidentiality regarding organizational matters, personal issues, and sensitive information.
- Act as a liaison between the Directors and internal/external stakeholders, ensuring clear communication and follow-up on action items.
About You
Requirements:
- At least a Diploma or Degree in Business Administration/Management, or a related field.
- Experience: at least 7 years in administrative and facility management support experience with exposure to secretary support.
- Dedicated, innovative, resourceful, team player, and able to work under pressure.
- Foster an efficient, innovative, and team-oriented work environment.
Excellent command of both oral and written English. Proficiency in Mandarin is an added advantage.
- Proficiency in Microsoft Office, especially with MS Excel & PowerPoint.
- Strong knowledge of office administration processes and workflows.
