Facility Management Executive (IFM) - MRO Admin

  • Oversee East & West Malaysia regional site office relevant to office administrative tasks.
  • Participate in office leasing, negotiation, and contract management. Communicate with landlord or office management.
  • Involved in procurement and negotiation on office equipment, office furniture, cleaning services, and other suppliers, managing vendor contracts and daily communication with suppliers.
  • Handle office staff requirements, manage office hard & soft services, daily allocation, and management of office facilities including facilities maintenance, seating arrangement, cleaning, front desk services, indoor plants, 5S management, etc.
  • Implement fire safety policy for the office, conduct monthly inspections, ensure annual publicity of fire protection equipment, and organize yearly fire drills.
  • Keep a proper office expenses ledger and provide cost analysis.

Space Management:

  • Collect, enter, and verify workstation data according to the Space Data Maintenance Process, including uploading and modifying drawings and allocating department information, to ensure that basic data is accurate and complete in a timely manner.
  • On-site workstation count: including functional space such as store room, locker or cabinet, workstation or meeting room, and analyze the utilization rate to ensure that the data is consistent with the actual situation.
  • Develop and execute workspace requirement implementation solutions: Support Space Manager in developing solutions and detailed allocation, moving, and recycling solutions for local sites.
  • Develop data analysis briefings on a monthly basis and publicize them in the local site management committee to support the improvement of site utilization efficiency.
  • Provide optimization suggestions for operating systems such as Tririga and participate in new function tests.
  • Office 5S management.
  • Generate reports and present findings to management or other interested parties.
  • Be responsible for the planning and follow-up of various corporate activities and the production of summary or achievements highlights.
  • Other ad-hoc tasks requested by IFM & HOD.

Requirements:

  • Possess a Bachelor’s degree in Business Administration or equivalent.
  • At least 3-5 years of experience in Project Management, Space Management, Integrated Facility Management (IFM), or relevant field.
  • Have strong subjective initiative, be good at thinking, observing carefully, love learning, self-discipline, and modest.
  • Good communication and coordination skills.
  • Proficiency with MS Office, especially Auto-CAD, MS Excel & PowerPoint.
  • Clear logical thinking, serious, meticulous, and strong expression ability.
  • Have a teamwork spirit, a strong upward mentality, and be able to withstand the pressure brought by the fast work pace.
  • Aptitude to succeed in a stressful and deadline-oriented environment.
  • High level of efficiency and can work independently with minimum supervision.
  • Have a good attitude and be willing to accept the flexible work arrangement of superiors.
