Facilities Coordinator

Assists the Facilities Manager providing facilities support and services to Client in their own designated role.

  1. Management of Service Request
    To ensure all service requests (urgent/ad-hoc or routine) are recorded, dispatched or directed to appropriate owner, responded, reported and closed within the agreed response and completion.
    To ensure the analysis of the service requests are performed and recommendations for improvements provided.
  2. Administrative Duties
    To support Facilities Manager/Facilities Coordinator to raise purchase orders, perform receiving and process invoices.
    To assist Facilities Manager/Facilities Coordinator in liaising with the landlord of the client for all required tasks.
    Where necessary, keep track and update inventory lists of stationeries, pantry and toiletry consumable supplies as well as maintenance and repair stocks.
    To assist the Facilities Manager to complete the agreements with vendors and coordinate with them on the scheduling activities for the performance of maintenance works, including ensuring the submission of service reports to confirm the completion of works.
    To keep track and ensure compliance requirements are adhered for the site.
    To ensure the risk register for the site is maintained regularly on every month and informed to the client.
    To control all works performed on site by issuing permit to work and holding regular vendor inductions.

Requirements

  • Diploma in building management or related field.
  • Previous experience in facilities or office management is preferred.
  • Technical knowledge preferred but not critical.
  • Excellent written and oral communication skills.
  • Strong PC skills is a pre-requisite.
  • Strong interpersonal skills and superior analytical skills.
  • Knowledge of state and local safety codes and fire codes.
