About the role

As a Warehouse & Logistics Executive, you will mainly be responsible for:

Warehouse Management

• Manage and control all stock inventory accuracy in the warehouse, moving towards zero shortage and zero variance between physical and system.
• To monitor and ensure all inventories in the warehouse are well-organized in the respective zones in the Warehouse, considering safety as utmost priority.
• To set up & lead the new distribution center team in warehouse management, ensuring smooth warehouse operations on a daily basis.
• To perform continuous improvements within the organization and secure a safe work environment adhering to ISO45001 Occupational Health and Safety compliances.

Logistics Management

• Plan, coordinate, execute, and monitor supply chain activities.
• Organizing the transportation of goods, including choosing the appropriate mode of transport (air, sea, road) and ensuring timely and cost-effective deliveries.
• Prepare documentation and coordinate with carriers and vendors/clients to ensure delivery of goods according to timeline.
• Addressing any logistics-related customer inquiries, including handling unexpected complaints or issues such as delays, damage, or discrepancies in inventory, ensuring customer satisfaction.
• React with contingency planning upon any disruptions in the supply chain, such as transportation failures or stockouts.

What you'll be doing

• To conduct daily toolbox meetings towards warehouse & logistics team members, emphasizing discipline, defects, non-conformance handling, delivery performance, safety, and health related.
• Lead the team members in relevant daily operational tasks by implementing and maintaining efficient warehouse and logistics workflows and procedures, identifying critical areas for improvement and implementing best practices.
• Conduct performance evaluations and provide feedback/motivation to team members; organize On-Job Training (OJT) to enhance staff skills and knowledge.
• Conduct regular performance evaluations of warehouse operations, analyzing key performance indicators (KPIs), and implementing corrective actions as required.

Warehouse Management

• Oversee the receiving, storing, picking, packing, and shipping of products to ensure timely and accurate order fulfillment.
• Optimize warehouse layout and storage systems to maximize space utilization and streamline operations.
• Maintain a safe and organized warehouse environment, adhering to safety regulations and promoting a culture of safety among the team.
• Implement warehouse management systems (WMS) and other relevant software tools to track inventory movements, orders, and performance metrics.

Inventory Management

• Establish rapport within inter/intra departmental (Production, Purchasing, PPC, Sales team, etc.) & business unit, ensuring effective proper stock levels and accurate forecasting of inventory needs.
• Monitor and maintain accurate inventory levels, conducting regular cycle counts and reconciliations to minimize discrepancies.
• Conduct monthly stock count activities and generate reports to facilitate accurate inventory stock level tallied with ERP system every end month.

Logistics Coordination

• Collaborate with carriers and logistics partners to coordinate inbound and outbound shipments. Ensure timely documentation preparation and approvals, and on-time deliveries.
• Import: Received shipment request from purchasing, liaise and coordinate with supplier and forwarder to follow up and perform shipment arrangement until goods arrive at our warehouse.
• Export: Received shipment request from dealer and export sales team. Check Production ready date, prepare shipment advice and email to related parties for outbound arrangement.
• Prepare packing list, commercial invoice, Form D/CO (certificate of origin), COA (Certificate of Approval for electrical appliances), and any other shipping related documentation. Verify and confirm Bill of Lading (B/L), K2, Form E & LC, upon submission to forwarder for customs clearance.
• Submit draft K1 for Duty and SST invoice for accounts to prepare payment.
• Optimize shipping routes and methods to reduce costs and improve efficiency.

What we're looking for

• Computer-literate for tracing, updating, and layout proposals.
• Influential communication and effective coordination skills.
• Strong leadership and team management skills, with the ability to motivate and develop team growth.
• Warehouse inventory management system experience.
• Effective planning/scheduling/sourcing/negotiating and organizational skills.
• Resourceful and able to seek alternatives to resolve contingencies.
• Adaptability and problem-solving skills, with a keen eye for detail.
• Good data analytical skills for daily planning and decision making to ensure all jobs for delivery, touch up, and installation are well executed. Good command in Excel.
• In-depth knowledge of monthly stock count and inventory control good practices.
• Excellent interpersonal and time management skills, with the ability to prioritize tasks and meet deadlines.
• Forklift driving skill would be advantageous.
