Executive/ Senior Executive Order Management
Job Description
A new opportunity has arisen for a skilled Executive/ Senior Executive Order Management to oversee and bring expertise to our team.

Key Accountabilities:
- Manage the order with internal departments (sales, sales engineering, finance, aftersales, logistics), factories, suppliers, and contractors till contract fulfilment, limited to supporting back end non-technical work requirements.
- Create shared folder order file in L drive once Sales has handed over new sales order complete with SOF.
- Create engine PO to factory in SAP (MS5).
- Execute orders in line with contractual agreements, adhering to the scope of deliveries, delivery dates, and costs.
- Liaise with finance for issuance of downpayment/stage payment, Bank Guarantee/Performance Guarantee depending on the contract agreed payment terms.
- Create batch no, engine/genset serial no in SAP to facilitate goods receipt (GR) for engines coming into Singapore/Malaysia warehouse and liaise with warehouse for physical goods receipt.
- Support coordination on goods movements and perform Goods Receipt of 3rd party PO upon goods delivered.
- Chase for secured payment prior to delivery (TT, LC, etc); Sales to assist where requested in case of delay from customer.
- Chase and issue shipping instructions.
- Liaise with customer on shipment.
- Liaise with factory or vendor for dispatch/shipment of parts, goods, or equipment.
- Coordinate transportation providers to ensure prompt and proper movement of shipments.
- Draft, fill, prepare and ensure that all shipment or delivery documentation is accurate.
- Review purchase orders and shipping documents to ensure accuracy.
- Verify delivery notes that all accessories are in order.
- Verify all invoices from factories, vendors, and forwarders.
- Liaise with forwarder on shipment/vessel booking/bill of lading.
- Sort accessories and follow up with factories on any discrepancies.
- Liaise with application/sales engineering for any specific technical protocols/certificates.
- Supervise and ensure dispatch on schedule.
- Generate packing list in SAP (for local delivery).
- Process commercial conditions and incoterms and follow up on LC amendments.
- Prepare LC documentation and provide to Finance for LC submission.
- Manage, process and document post-delivery claims for short-shipped/missing parts with customer.
- Manage registration with government bodies or agencies as required.
- Manage company level documentation, server folder, and ensure compliance with statutory and regulatory requirements.
- Assist in the management of office operations including ordering supplies and managing vendors for admin services.
- Special Assignment from time to time.
Qualifications and Skills:
- University studies in Business Administration or equivalent.
- Experience in order execution of engineered solution business, min. 1 year.
- Experience in the diesel engine/generator industry or backup power in data center would be an added advantage.
- Good team player with excellent written and verbal communication skills.
- Understand Asian cultural differences and business practices and can resolve conflicts effectively.
- Able to manage high stress situations and be accountable for order management topics.
- Able to multi-task and manage topics simultaneously.
- Always up to date with the progress of the project.
- Willingness to travel.
- Proficient in English and Malay language both written and spoken.
- Proficient in SAP, Word, Excel, PowerPoint.
- Detail oriented and adhere to professionalism.
