Executive / Senior Executive, Academic Administration Support

The Executive/Senior Executive, Academic Administration Support (AAS), is responsible for managing course registrations, student movement processes, partner university academic coordination, visa documentation, and other administrative duties to ensure smooth academic operations.

Responsibilities:

Course Registration:

  1. Manage Blackboard course setup, including creating course IDs and enrolling lecturers and students.
  2. Publish announcements related to courses and examinations.
  3. Maintain and update the programme master tracker.
  4. Submit Exam Board Entry (EBE) for exam processing.

Student Movement:

  1. Compile and process documents for student deferment, withdrawal, termination, graduation, and transfers.

Partner University Coordination (UOG):

  1. Set up assessment submission links before the Start of Course (SOC).
  2. Cross-check marks from mark sheets and Moodle.
  3. Upload samples and mark sheets into the moderation board.
  4. Communicate moderation board feedback to lecturers.
  5. Manage the entire UOG Moodle operations.
  6. Serve as the primary liaison for academic matters with UOG.
  7. Oversee UOG marking moderation and reporting.
  8. Compile documents for visa renewal.
  9. Update and maintain SUKU reports.

General Administration & Other Duties:

  1. Conduct orientation briefings for new students.
  2. Compile and report lecturer evaluations for the Head of School (HOS).
  3. Assist in organizing convocation ceremonies.
  4. Respond to student inquiries regarding academic matters.
  5. Prepare and compile monthly attrition reports.
  6. Undertake additional duties as assigned by the Head of Department or Management.

Requirements:

  1. Bachelor’s degree in Administration, Education, or a related field.
  2. Prior experience in academic administration or higher education institutions is preferred.
  3. Strong organizational skills with the ability to manage multiple tasks efficiently.
  4. Proficiency in Blackboard and Moodle learning management systems.
  5. Excellent communication skills in Mandarin, English and Bahasa Malaysia.
  6. Detail-oriented with strong analytical and problem-solving abilities.
  7. Ability to work collaboratively with faculty, students, and external partners.
