Established in 1961, Malayan Flour Mills Berhad (MFM) is the pioneer in the flour milling industry in Malaysia. Job Description

Plan, source, negotiate and purchase raw materials at the most preferable timing, deal terms and best price for the organisation needs whilst being compliant to organisation’s guiding principles and government regulations.

Responsibilities:

  • Actively monitor the business demand requirements to devise a plan to replenish the inventory stock, source most feasible supplier and conclude purchases with the most favourable supplier for the business.
  • Constantly source, compile, negotiate and evaluate the prices, specifications and terms of the products and support provided by the suppliers to compare and ascertain the most favourable supplier is available when products and services are required.
  • Monitor and analyse the commodities and products market trend as well as factors affecting the price movement (e.g. weather conditions) for decision making to especially for strategic purchases that will influence cost of raw materials.
  • Review and ensure timely update of the cost component of the products to ensure they are accurately reflected to identify cost optimisation opportunities.
  • Adhere to the standard operating procedures (SOP) when issuing a purchase order (PO) to ensure timely delivery of the materials procured in order to avoid any operational disruptions.
  • Monitor vessel and shipment movement to ensure timely arrival of items ordered, taking into consideration environmental factors (e.g. tide at the jetty) to ensure no (or minimal) delays in the delivery of the materials at the plant.
  • Communicate with the receiving team at the plant to ensure there is a comprehensive list of expected items including item specification, quantity, quality, and other parameters, to ensure items delivered meet expectations.
  • In the event of uncontrollable delays, undertake the responsibility to troubleshoot and determine feasible alternatives through collaboration with freight handlers, logistics providers, suppliers, etc. to propose possible solutions while mitigating risk of delays.
  • Ensure that any unfulfilled delivery of procured items are reconciled with the supplier, damages are claimed through insurance and any unmet conditions are claimed/compensated accordingly to our organisation. Compile the documentation required to process the necessary compensation and negotiate the most favourable outcome for the organisation.
  • Coordinate with relevant parties (e.g. suppliers, transporters, shipping agents, forwarding agents, banks) for timely, efficient, and effective operation processes including deliveries and customs documentation.
  • Process indent and local shipping documents, delivery, and unloading of goods to ensure the timely arrival of procured items at the plant for processing.
  • Process indent and local shipping documents for payment and perform the required matching of invoices with purchase orders and submit to the accounts team in a timely manner to ensure payments are processed within trading terms agreed with the suppliers.
  • Obtain the necessary import license and permit, product registrations, and relevant licensing to ensure compliance with regulatory requirements while also ensuring timely delivery of the items procured. Understand the regulatory requirements and ensure all necessary documentation are in order to ensure seamless delivery of the items.
  • Consolidate the required documents for machinery and items that are eligible for tax incentives by the government to be filed with the relevant authorities within the timeline and conditions provided.
  • Perform any other tasks and assignments as directed by the management from time to time.

Qualifications

  • Bachelor’s Degree in Food Science, Procurement, Economics, Trading or equivalent.
  • 2 – 5 years of working experience in purchasing or relevant fields.
