Job description

Responsibilities:

  1. Manage and be responsible for the calendar management of identified business leaders and stakeholders, helping them prioritize their limited time for important business matters.
  2. Responsible for the serviceability of the Singapore and Malaysia office, making independent judgments and recommending solutions and processes for business leaders and internal stakeholders.
  3. Accountable for end-to-end office administration and operational support for Singapore and Malaysia general office maintenance, including office utilities bills, cleaning maintenance, safety equipment, and pantry supplies.
  4. Handle office reception and mailroom duties, hosting office visitors and managing incoming/outgoing mails.
  5. Assist divisions in managing the PO process, including billing and PO process for airfare ticketing requests before ticketing confirmation.
  6. Provide backup support for PO issuance to single contributor members in the business division, including initiating and requesting new vendor code creation in the SAP system with the UK team.
  7. Attend to call-in customer inquiries and route them to relevant commercial personnel.
  8. Ensure tidiness of the office environment, serviceability of infrastructure, and adherence to workplace safety standards.
  9. Procure congratulatory and get-well gifts for employees.
  10. Provide on and off-boarding support for departmental new joiners and leavers, including access pass and carpark access.
  11. Assist in tracking asset movement for the Singapore and Malaysia office.
  12. Support the organization of company-wide entertainment, team engagement, and welfare events.
  13. Render administration and operational support to retail estate when required.
  14. Assist in assigned one-off ad-hoc projects (e.g., office relocation, building security enhancement).
  15. Coordinate travel itineraries and expense reports, ensuring efficiency and compliance with company policy, including visitors’ travel arrangements (flight booking, accommodation, visa application, and transportation) in a cost-effective manner.
  16. Arrange and prepare meeting logistics, including meeting packs, meals, and refreshments.
  17. Consolidate and compile the SEA/ANZ weekly trading report.
  18. Support primary/matrix managers on any ad-hoc assignments tasked.
