Responsibilities
Schedule appointments, meetings, and travel arrangements on behalf of the senior-level executives.
Manage the executive's calendar and always maintain a clear overview of their schedule.
Ensure the Executives attend the scheduled events on time.
Prioritize tasks based on urgency and importance.
Anticipate potential conflicts and reschedule meetings as needed.
Handle selected incoming and outgoing correspondence, including email, phone calls, and letters where appropriate.
Screen calls and filter out irrelevant messages to protect the executive's time.
Research and book travel arrangements for the executive according to company policies and procedures.
Handle travel documents, visas, and other logistics.
Anticipate travel delays, changes, or cancellations and react accordingly.
Coordinate with airlines, hotels, and other travel providers to ensure that the executive has everything they need for a smooth and successful trip.
Manage small projects and tasks as assigned by the executive.
Prepare presentations, reports, and other documents as needed.
Coordinate with team members to ensure project completion.
Track project progress and report back to the executive.
Anticipate and resolve potential roadblocks.
Requirements
Minimum 5+ years of experience as an Executive Assistant or in a similar role.
Bachelor’s degree in business administration, or other studies with proven experience in a similar capacity to Executive Assistant.
Must be able to communicate (read, speak, write) in Chinese language due to business requirements.
Strong written and verbal communication skills.
Ability to maintain confidentiality in all communications and interactions.
Excellent attention to detail and ability to prioritize tasks.
Excellent organizational and time management skills.
