Job Overview:

The Event Logistics Crew plays a crucial role in the successful execution of events by handling equipment setup, dismantling, and transportation. This position is responsible for ensuring that all equipment is set up correctly and safely, and for performing essential office duties such as stock checks, research, and inventory management before events. The role requires a combination of hands-on physical labor and organizational skills to ensure the smooth operation of the logistics process.

Key Responsibilities:
  1. Equipment Setup & Dismantling:
    • Setup: Assist in the timely and proper setup of event equipment, including staging, audio-visual equipment, furniture, signage, and any other event-related items.
    • Dismantling: Responsible for safely breaking down all event setups after the event concludes, ensuring all equipment is packed and transported correctly.
    • Logistics Coordination: Work closely with the Event Logistics Coordinator and other event staff to ensure smooth transitions from setup to event operations and post-event breakdown.
  2. Transportation and Handling:
    • Load and Unload: Assist in loading and unloading event materials and equipment from trucks, ensuring that all items are securely handled and transported.
    • Equipment Handling: Ensure safe handling and transportation of fragile or heavy equipment, following proper procedures to avoid damage.
  3. Stock Check & Inventory Management (Office Duties):
    • Inventory Management: Perform regular stock checks of equipment and supplies, ensuring accurate records of items available for events.
    • Stock Replenishment: Assist with the ordering and purchasing of new equipment or materials needed for future events.
    • Organize Equipment Storage: Maintain an organized and safe storage area for event materials, ensuring easy access and retrieval when needed.
  4. Research and Preparation (Office Duties):
    • Vendor Research: Assist with researching potential vendors and suppliers for equipment rentals, supplies, and other event-related services.
    • Equipment Research: Stay updated on the latest event equipment, technologies, and trends, providing recommendations for improving event logistics.
    • Documentation: Assist in preparing event documentation, including equipment lists, event layouts, and transportation plans.
  5. On-Site Event Support:
    • Event Assistance: During events, provide additional support as needed, whether it's moving equipment, assisting event staff, or handling last-minute changes in setup.
    • Problem Solving: Troubleshoot any issues with equipment setup, ensuring quick and effective solutions.
  6. Safety and Compliance:
    • Adhere to Safety Protocols: Ensure that all equipment is set up and handled according to safety standards and protocols.
    • Maintain Equipment Integrity: Regularly inspect equipment before and after events to ensure it is in good working condition.
Qualifications:
  • Experience: Previous experience in event setup, logistics, or handling equipment is a plus, but not required. SPM Leavers and Students are encouraged to apply as Freelance.
  • Physical Requirements: Ability to lift and carry heavy items (up to [weight] lbs), work on your feet for extended periods, and perform physical labor as required.
  • Organizational Skills: Strong attention to detail and ability to keep accurate records of inventory and equipment.
  • Communication Skills: Good communication skills to work effectively with other crew members and the event team.
  • Teamwork: Ability to work well in a team and follow directions from event managers and coordinators.
  • Flexible Schedule: Willingness to work evenings, weekends, and holidays as required for events.
Preferred Qualifications:
  • Basic knowledge of audio-visual equipment, staging, or event-related technology.
  • Experience in warehouse or inventory management.
  • Valid driver’s license (for transportation and driving event vehicles, if required).
Physical Demands:
  • Must be able to lift, carry, and move heavy equipment and materials.
  • Ability to stand, walk, bend, and work for long hours during events.
Working Conditions:
  • Event Days: Extended hours, including evenings and weekends, are expected for event days.
  • Non-Event Days: Office duties will be performed during regular working hours, typically Monday to Friday, with occasional flexibility needed based on event schedules and replacement leave will be given accordingly.

This role requires a highly organized, reliable, and physically capable individual who is committed to ensuring smooth logistics for events. The ideal candidate will be detail-oriented, efficient, and able to work effectively both in the office and on-site during events.
