Event and Venue Coordinator
Job description
Responsibilities:
- Meet with clients to understand their event goals, themes, budgets, and preferences.
- Develop detailed event plans and timelines, covering all logistics and arrangements.
- Present event proposals to clients and obtain necessary approvals.
- Coordinate with internal teams and vendors to ensure all event aspects are covered.
Venue Management:
- Oversee all venue operations, including setup, maintenance, and breakdown.
- Conduct site visits and ensure the venue meets client specifications.
- Manage venue cleanliness, safety, and readiness for events.
- Handle bookings, ensuring efficient scheduling and maximizing venue use.
- Source and negotiate with vendors for catering, decor, AV equipment, entertainment, and other services.
- Build and maintain strong relationships with trusted vendors.
- Oversee vendor agreements, timelines, and deliverables.
Logistics and Operations:
- Organize transportation, accommodations, and other event-related logistics.
- Manage setup logistics like seating, staging, lighting, and sound arrangements.
- Oversee the event day, ensuring all elements run as planned.
- Address on-site issues or emergencies quickly and effectively.
Budget Management:
- Create and manage event budgets, ensuring cost-effective planning and execution.
- Monitor expenses and keep events within budget.
- Identify cost-saving opportunities while maintaining quality.
Compliance and Safety:
- Ensure all events follow legal, health, and safety regulations.
- Implement safety and security protocols for events and venues.
- Address compliance and safety concerns as they arise.
Post-Event Activities:
- Conduct post-event evaluations to assess success and areas to improve.
- Gather feedback from clients, attendees, and staff for continuous improvement.
- Handle follow-up tasks, like sending thank-you notes and conducting surveys.
- Work closely with internal teams, including marketing and sales.
- Lead and coordinate event staff, volunteers, and temporary workers.
- Promote a collaborative and positive work environment.
Qualifications:
- Diploma or Bachelor’s degree in Event Management, Hospitality, Marketing, or a related field.
- Proven experience in event planning and venue management.
- Strong organizational and project management skills.
- Excellent communication and interpersonal abilities.
- Proficiency in event management software and Microsoft Office.
- Ability to multitask and work under pressure.
- Willingness to work evenings, weekends, and holidays as needed.
