This is a full-time Personal Assistant role at IPOH AUTO CITY SDN BHD, based in Ipoh, Perak. The Personal Assistant will provide high-level administrative and secretarial support to the Group Chief Executive Officer, ensuring the efficient running of the Group CEO's office and assisting with various administrative tasks.
What you'll be doing
- Managing the Group CEO's calendar and scheduling appointments, meetings and travel arrangements
- Preparing agendas, taking minutes and distributing meeting notes
- Handling confidential and sensitive information with discretion
- Liaising with internal and external stakeholders on the Group CEO's behalf
- Organising and maintaining the Group CEO's filing system and correspondence
- Providing general administrative support, such as managing the Group CEO's inbox and handling telephone enquiries
- Scheduling and making arrangements for meetings, appointments or travel
- Liaising with clients, Managers or suppliers on behalf of an employer
- Strong communicators and proficient with computers, including scheduling, administration and communication software
What we're looking for
- Young and energetic with substantial experience (3+ years) working experience as a Personal Assistant to the top Management Executive
- Excellent verbal and written communication skills, with the ability to interact professionally with all the divisions at all levels
- Willing to put extra hours to meet the competing deadline in a fast-paced and dynamic environment
- Strong organisational and time management skills, with the ability to juggle multiple priorities
- Must be independent, resourceful, analytical and possess good communication skills with all internal and external parties
- Proficient in using Microsoft Office suite, business writing skills and basic knowledge in Accounting, and other productivity tools
- Well versed in IT and knowledge in digital marketing is an added advantage
- Discretion and confidentiality when handling sensitive information
