Parts Clerk

Assist and support the superior and department to ensure smooth parts operations are maintained at all times and all queries from customers are attended to promptly and courteously.

Job Content:

• Receive parts shipments and check for discrepancies.
• Create and print barcodes for newly arrived shipments and replacement stickers for existing parts if necessary.
• Keep receiving area free and clear of clutter.
• Store and bin newly received parts to their respective bin locations.
• Issue parts in GDMS & Oil Management System.
• Retrieve parts from their bin locations according to Shipping List generated from GDMS, and supply to workshop or counter sales customers.
• Ensure that parts are binned and retrieved in accordance with first-in-first-out (FIFO) principle.
• Ensure warehouse cleanliness and parts are arranged neatly in their respective bin locations at all times.
• Ensure all signages and barcode labels for bin locations are in place and accurate.
• Ensure demarcated areas such as Exchange Parts and temporary warranty parts storage area are marked and signages are in place.
• Prepare and pack parts for return to Porsche AG.
• Perform regular checks on parts with expiry dates and inform superior if expired parts are found in the inventory.
• Ensure all workshop consumable transactions (received & issued) are recorded and filed.
• Monitor stock level of workshop consumables and notify Importer Admin to replenish stock if necessary.
• Contact trade and non-trade customers when counter sales backorders arrive.
• File all documents in accordance to the requirements as stipulated in the SOP.
• Attend to any other matters as may assigned by superior from time to time.
• Ensure security of the parts warehouse at all times.
• Ensure all damaged parts are documented and reported to superior.
• Responsibility for Environment, Safety and Health to ensure a safe working environment for all employees, whilst complying with local legal requirements.

Impact/Accountability:

• Ensure correct parts and quantities are issued in system and physically.
• Ensure Electronic Parts Catalogue (PET) is updated to the latest version at all times.
• Ensure the right parts are ordered for customers in a timely manner.
• Ensure price quoted to customers are accurate.
• Monitor the stock accuracy in warehouse.
• Responsible for any parts variation costs due to negligence.

Interaction:

• Liaise with National Parts Manager.
• Liaise with Head Dealer Parts.
• Liaise with employees in Finance Department.
• Liaise with all the employees in Service Department.
