Job description

Finance cum Admin Assistant supports the Finance cum Admin department by performing clerical tasks, including data entry, processing, and recording transactions, updating ledgers, fact-checking, filing, and other duties as needed. This position is also responsible for a variety of administration tasks.

JOB RESPONSIBILITIES:

Finance:

  1. Support daily accounting functions of the Finance Department.
  2. Ensure all documentation related to general accounting and administration is properly filed.
  3. Handle invoicing, payments, statements of account, and data entry in the accounting system.
  4. Maintain and reconcile bank reconciliations and other accounting schedules.
  5. Liaise with clients and related departments to coordinate payments, invoices, etc.
  6. Receive payments for invoices via online transfer/cheque/cash/credit card.
  7. Assist with petty cash – reimbursement and claims, checking before submitting the payment process.
  8. Prepare payment submissions for approval in a timely manner.
  9. Ensure timely and accurate updating of monthly account closing.
  10. Perform other related duties assigned by the Supervisor from time to time.

Administrative:

  1. General office administration tasks.
  2. Assist in desk receptionist duties including answering calls and attending to vendors, couriers, and others.
  3. Order/collect/deliver parcels and purchase office goods when needed.
  4. Support all document circulation and storage.
  5. Oversee office facilities and maintenance, executing all office-related operations such as cleanliness, coordination, and arrangement for repair & maintenance of office facilities/equipment (e.g., lights, air conditioners, photocopiers).
  6. Assist in the preparation of company in-house activities and events.
  7. Undertake other ad-hoc tasks as assigned by supervisor/management when necessary.
  8. Ensure compliance with company rules, accounting policies, and regulations.

REQUIREMENTS:

  1. Minimum Diploma or Degree in Accounting or equivalent.
  2. Fresh Graduate or Entry Level in Accounting cum Admin.
  3. Basic understanding of accounting principles.
  4. Computer literate with working knowledge of MS Office applications.
  5. Written and verbal communication skills.
  6. Team player who can also work well independently and under a fast-paced, deadline-driven environment.
