Job description
  • Assist in all clerical, administrative operation and document control activities.
  • Handling incoming mails i.e. correspondence, drawings, etc (sorting & recording)
  • Responsible for the quality review of all documents and forms to ensure they are kept according with the prescribed procedures.
  • Control issue and receipt of all documents and drawings by cataloging and indexing.
  • Conduct annual audit of documents to ensure they are updated and controlled.
  • Maintain and report any administrative issues to Head Office.
  • Receive visitors and offer refreshments. Immediately notify the persons the visitors are meeting with.
  • Responsible for answering all incoming telephone calls and transfer calls to the appropriate persons. Ensure all messages are delivered immediately.
  • Receive all incoming documents.
  • Open and stamp receipt date on the documents.
  • Scan all documents to be emailed to all intended recipients.
  • Pass original documents to Document Controller immediately.

Outgoing documents: Arrange dispatch/courier and record all outgoing documents.

Monitor site attendance of site staff and visitors. The site attendance report must be submitted daily to HRD.

Compile and record all staff claims.

Update, monitor and record workers Work Permit and CIDB Cards.

Manage and track assets as well as monitor usage of staff house at site.

Purchases: Liaise with Senior Admin Executive at HQ for all purchases. Prepare purchase orders and payment vouchers for all offices consumables as well as asset maintenance renewals.

Maintain photocopiers, printers and fax machines to make sure they are working at all times.

Maintain pantry to ensure refreshments are available. Replenish items when low.

File all admin documents.

Monitor and remind all appointments and deadlines.

Any other duties and functions that may be assigned by the Company.

Minimum Requirements: Diploma holder with 1 - 2 years administration experience.
