Job description

Responsibilities

  1. Assist HOD with day-to-day operations
  2. Handle day-to-day Sales Tax Invoices & Delivery Orders as required
  3. Upload required Sales Tax Invoices into customer portals/websites (record the portal reference number & state in customer invoice)
  4. Distribute all approved debtor invoices and follow up on acknowledgment of delivery orders with respective engineers
  5. Responsible for customer progressive claims
  6. Ensure company website is up to date with the latest completed projects
  7. Perform general administrative duties including filing, photocopying, scanning, and uploading documents into the server and SQL
  8. Manage ISO documentation & serve as administrator (DCC for ISO)
  9. Manage organizational records and implement a proper filing system
  10. Prepare data analysis for the project department every quarter
  11. Communicate effectively with customers and internal personnel
  12. Conduct standard and ad hoc weekly, monthly, and quarterly meetings for management
  13. Prepare Debtors monthly statement reconciliation
  14. Liaise with customers for follow-up on collection and payment status
  15. Update customer payment records into SQL system, Budget Sheet, and Pending Job List
  16. Prepare monthly presentation slides for meetings
  17. Issue project handover certificates
  18. Handle sales orders & sales forecast meetings
