Job description

Job Responsibilities

Responsible for providing day-to-day document control activities for project and for ensuring that project information is organized and according to company and project requirements.

  1. Handle incoming mails i.e. correspondence, drawings, etc (sorting & recording).
  2. Register:
    1. Incoming fax and outgoing letters.
    2. Scan all incoming tender documents.
  3. Responsible for the review of all quality documents and forms to ensure they are kept according to the prescribed procedures.
  4. Administer the selection destruction of documentation in accordance with Document and Data Control procedure.
  5. Manage and oversee works activities and compliance against environmental requirements and regulations.
  6. Ensure that the appropriate environment codes of practice are followed (e.g.: Waste Management, etc).
  7. Coordinate all activities related to the Document Control procedure, including technical documents, drawings, and commercial correspondence.
  8. Input document data into the standard registers ensuring that the information is accurate and up to date.
  9. Generate the various document control reports as required.
  10. Make sure that controlled copies of latest approved documents and drawings are given to the appropriate staff, subcontractors, and suppliers as applicable.
  11. Maintain updated records of all approved documents and drawings and their distribution clearly.
  12. Maintain the documents and drawings in the Document Control office under safe custody without any damage or deterioration with easy traceability.
  13. Maintain the files and control logs as required by the project.
  14. Assist in ensuring all documentation activities are at procedures.

  • External Organization: Consultant/Subcontractor/Supervising Client.

Management Reports

  • Summary of correspondence - Incoming & Outgoing.
  • Summary of RFI.
  • Summary of Technical Documents.
  • Summary of Drawings.

Position Specification

  • Qualifications (Degree/Diploma): Diploma, Vocational or SPM.
  • Year of experience: 2-3 years.

Knowledge

  • Knowledge in MS Office, including MS Excel, MS Word, and MS Outlook.
  • Document Control System (DCS).
  • Office Management.
  • Understanding of IMS.
