We are seeking a detail-oriented and proactive Document Controller Executive to join our team.
Key Responsibilities:
Document Submission & Management: Oversee the submission and transaction of drawings and documents for Large-Scale Solar projects and other related projects.
Filing & Appraisal: Manage the filing system and appraise records to determine which documents should be retained or disposed of, both at the office and on-site.
Stakeholder Liaison: Effectively liaise with the Project Management team, clients, and sub-contractors to resolve documentation-related issues and ensure smooth communication.
Electronic Records Management: Handle electronic records across various platforms required for the projects, ensuring accuracy and accessibility.
Correspondence Management: Maintain and record all incoming and outgoing correspondences to ensure accurate tracking and documentation.
Drawing Management: Maintain a master document register for project drawings, ensuring that all stakeholders receive the latest revisions promptly.
Document Archiving: Maintain both softcopy and hardcopy archives of drawings and documents, ensuring they are systematically stored both manually and in the system.
Project Completion Documentation: Compile and submit required documents during the Mechanical and Final Completion stages of the project.
Control Checklist: Develop and manage control checklists to meet project documentation requirements.
Tender Preparation: Assist with tender preparations, focusing on communication protocols and document management.
Project Claims Submission: Support the compilation and submission of project claims to clients/owners.
Reporting: Compile Monthly, Weekly, and Daily Reports as required by the project.
Meeting Coordination: Organize and send invitations for project-related meetings.
Minutes of Meeting (MOM): Prepare and distribute Minutes of Meeting when required.
Requirements:
Good communication and computer skills
Have knowledge in Electronic Records Management System
Experience in document control for at least one year
Fluent in English and Malay
Willing to learn and adapt to multiple scopes of work
Skilled in planning, organizing, problem-solving, and decision-making
Excellent analytical thinking, technical analysis, and data analysis skills
Positive, adaptable, and skilled in interpersonal relations
Able to multitask and delegate
Able to work under pressure and handle uncertainty while maintaining a positive, highly motivated, and can-do attitude
