Job Description

Document Management:
Receive, log, and categorize all incoming and outgoing project documents, such as blueprints, specifications, contracts, permits, correspondence, and other relevant documents.
Ensure documents are filed, archived, and stored in the correct locations (physical and digital) for easy access.
Maintain a clear, up-to-date filing system for all project documents.
Ensure that all project documentation complies with relevant legal and industry standards.

Document Control:
Track revisions and versions of documents, ensuring all teams are working with the latest versions.
Monitor the flow of documents and maintain a log of the document status (e.g., reviewed, approved, under construction).
Coordinate document control activities, ensuring that documents are distributed and received in a timely manner.
Ensure project team members understand and follow document control processes and procedures.

Coordination and Communication:
Liaise with internal departments (e.g., Project Managers, Engineers, Architects) and external stakeholders (e.g., contractors, subcontractors, suppliers, clients) to collect and distribute project-related documents.
Ensure proper communication of document issues or discrepancies to relevant team members.

Document Review and Quality Control:
Review documents for completeness and accuracy before submission or distribution.
Maintain version control of all documents and ensure that the appropriate sign-offs are obtained on important documents.
Coordinate document reviews and approvals from stakeholders and ensure deadlines are met.

Compliance and Reporting:
Maintain the project’s document control registers and ensure that all documentation complies with relevant company standards and regulatory requirements.
Generate reports and assist in audits or project reviews related to document management.
Monitor document retention periods and ensure proper disposal or archiving as per company policy.
Perform any other administrative duties related to document control as required by the project team.

Job Requirements:

Possess a degree or its equivalent in any field, and preferably have worked for 2 years in a related field.
Familiar with Microsoft Office (MS Excel, MS Word, MS PowerPoint) and other office management applications.
Good communication abilities both in writing and speaking.
Willing to work in Connaught, Cheras.
